职位描述
General Requirements:
· Minimum 3years experience as a secretary, or preferably two year experience as a legal secretary.
· Bachelor Degree
· Excellent oral and written communications skills in English.
· English typing speed of at least 30 words per minutes, ability in Chinese "Wu-Bi" .
· Fluent in MS Word processing software and other common office software such as e-mail and electronic diary and address book.
· Must be prepared to offer loyalty, enthusiasm, tact, and discretion. Pleasant manner and appearance, and ability to maintain a reassuring calm at all times essential.
· Meticulous, high degree of initiative, able to work as part of a team and under pressure.
· Also to act as liaison between lawyers within the team.
· This position is located in our Shanghai Office. The right candidate should be able to work in Shanghai.
Job Responsibilities:
1.Calendar Management
· manage Lawyer's calendar and coordinate with the driver;
· business event reminder input;
· personal meetings or anniversary reminder;
· sending emails on behalf of Lawyer (invitation, confirmation or other matters required);
2. New Job / Matter Opening
· new job or matter research & information collection;
· preparation of engagement letters;
· working with Conflict Group in Headquater Office to run conflict check;
· Legal Key management;
· internal translation during the research (business license, ID etc.)
3.Timesheet Management & Billing
· input the daily timesheet to DTE;
· working with Billing Department in terms of issuing invoices;
· working with other Offices when Partner or Professional has different billing offices; coordinating with their assistant or secretary in the other offices.
4. Correspondence and Typing (excellent English skills required)
· drafting of cover letter and other standard correspondence;
· typing of dictates in English language.
5.Assistance of IPO Practice Group
· Formatting securities prospectus and other transaction documents ;
· ;
· support lawyers during preparation of prospectus submissions.
6. Documentation, Formatting, Filing & Binding
· editing of legal documents;
· all kinds of formatting work;
· creation of presentations in particular power point;
· filing of softcopies to Filesite and set up e-folders;
· filing of hardcopies in binders;
· basic file-binding;
· working with General Copy or other professional services to complete any formal binding.
7.Travel Management and Reimbursement
· flight tickets, train tickets, hotel and car bookings;
· renew and update corporate contract with hotels or travel agents;
· making itinerary or schedule for Partner or other professionals;
· reimbursement for expenses for Partner or other professionals;
8.Secretary Training
· sponsoring secretary training in a regular basis (together with IT Department);
· training part-time evening secretary when necessary;
· filing the meeting minutes and circulate internally;
9.Visa Preparation and Arrangements
· Visa application checklist preparation for Partner or any other expat employees;
· health check booking;
· other certificates application, such as legal representative certificate, working permit and resident permit;
10.Name Cards and Clients Database Management
· input the name cards for Partner or other professionals into the InterAction System;
· put some detail notes for some very important client / VIP;
· sorting some of the contacts to a special group so as to work with the Marketing Department for some marketing issues;
11.Liaison with Chambers
· contact with all the Chambers and renew the Membership Directory every year;
· updating news and events of every Chambers;
12.Marketing Issues
· helping with Marketing Department with some events like presentation held either in the office or outside;
· editing or formatting marketing brochures or other materials;
· participating in some office reception dinner or other in house event;
· helping with managing the Library if needed;
13.Personal Assistant to Lawyers when he or she needs help
