Position Summary
The receptionist and Office Admin is responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.
Responsibilities:
Reception/Front Desk duties:
? Handle reception duties and greets visitors to the office
? Answer all incoming calls, handle caller’s inquires and take messages
? Handle incoming and outgoing mail and express courier packages.
? Arrange for meetings
Office Administration duties:
? Provide office support services in order to ensure efficiency and effectiveness within the Nurun Shanghai office
? Looking after the maintenance and good care of the office space; liaise with building facilities regarding office space maintenance and other matters; coordinating the work of the office cleaning staff and security guards.
? Manage the offices supplies inventory and equipment and liaise with suppliers
? Coordinate travel arrangements and prepare related expense reports
? In charge of following up with employees to ensure weekly submission and approval of timesheets and reporting status to Finance Manager on a weekly basis.
? Assist in coordinating for staff meetings and agency communications
? Participating and supporting in coordinating Nurun Social activities such as Annual CNY Party, and other agency gatherings including NuFun activities (Nurun Social Committee)
Admin support o to HR, Finance and Management:
? Assisting in translating and proof-reading memos, documents and presentations
? Provide admin support to HR, Finance and Management
? Other duties and special projects as assigned
Requirements:
? Minimum of 1 years’ experience providing reception/administrative support within an services environment;
? Exceptional communication skills in English and Chinese (oral and written),
? Enthusiastic attitude and a team player;
? Strong organizational skills, including the ability to organize multiple tasks, effectively meet deadlines and display high attention to detail;
? Must be able to adapt quickly, prioritize effectively and display a high degree of common sense;
? Highly proficient with Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook;
? Ability to work as part of a team and independently when required;
? Demonstrate sound work ethics and ability to work with confidential information, tight deadlines and in a fast-paced high-energy environment;
