Job Purpose and Key Responsibilities:
Job purpose of Conference Support Engineer is to support electronic meeting facilities, including audio system, VTC system, projectors, Tandberg, Lifesize equipment, Polycom equipment, Teliris high quality video conferencing system, TV sets etc. And this person is also responsible to coordinate between the meeting requester and the Central VC Supporting Team, or technical support analysts to provide qualified meeting support service to R&D China.
Accountability:
1. Video conferencing coordination and support;
2. Outsourced printing service management;
3. IDS system maintenance;
The following tasks will be performed:
1. Collaborate with other IT colleagues to ensure meeting room facilities remained in good running conditions;
2. Collaborate with meeting requestors to complete meeting registration in IWR/Teliris booking systems;
3. Assist the meeting requestors to get meeting environment prepared before the meeting starts;
4. Ensure proper communications being delivered between meeting requestors, global supporting team and attendees;
5. Manage meeting changes/cancellations;
6. Provide efficient on site troubleshooting service if any meeting interruption;
7. Assist on meeting room cleanup, to ensure meeting equipment/systems' closure;
8. Regular check meeting room facilities;
9. Manage local VTC support and logistic process;
10. Maintain and update meeting support documents, SOPs and training materials;
11. On-going maintenance of meeting rooms/VTC facilities information in the meeting booking systems;
12. Coordinate with HP company to deliver good quality of outsourced printing service;
13. Regular check network printers;
14. Continuously monitor HP outsourced printing service;
15. Get and review monthly printing service reports with HP;
16. Check and maintain IDS (Information Distribution System) on daily basis;
17. Ad hoc as required;
Complexity:
1. Customers have high expectation regarding VC (Video Conferencing) services, and meeting support requests have kept on rising up rapidly in R&D China;
2. Need coordinate and clearly communicate between different parts of meeting support teams and customers;
3. Need understand global standard process clearly;
4. Require very strong emergency well-handled skills;
5. Must be scrupulous;
Specialized Knowledge:
1. Fluent in both oral and written English;
2. At least 2 years' solid experience in meeting conferencing support;
3. Excellent customer service skills and strong interpersonal skills;
4. Familiar on operating electronic VC facilities and meeting equipment, including Polycom, Lifesize and Teliris systems;
5. Used to multi-task environment;
6. Excellent problem solving abilities, be able to address interactions internally and externally;
Basic Requirements:
1. BA/BS or above, major in Engineering or Computer Science;
2. 3 years working experience in the relevant field is required;
3. Experienced in operating general IT systems, including Windows, MS Office, MS Outlook etc;
4. Skillful in maintaining conferencing facilities, including projector, phone, VC/TC equipment;
5. Good customer service spirit and excellent communication skills;
6. Basic knowledge of network problems troubleshooting;
Preferred Requirements:
1. Experience in supporting Sametime meeting, LiveMeeting;
2. IDS system management;
3. Projects or vendors management experience;
