职位描述
The Role:
The assistant provides project and secretarial support to Executive Compensation Line of
Business in the Shanghai office.
Performance Objectives:
Excellence
? Work in a systematic and organised manner, prioritising tasks as appropriate and ensuring thatothers are kept up to date with your progress against allocated tasks
? Ensure that quality initiatives are followed at all times
? Coordinate travel and accommodation
? Maintain consultants' calendars
? Produce documents (copying, binding, and laminating)
? Undertake Line of Business specific administrative duties
? Prepare, format, edit and proofread letters, proposals, presentations, spreadsheets and
marketing materials using Microsoft Word, Excel, and Power Point in line with TW brandingstandards
? Identify data entry parameters, complete data entry and data verification tasks, conduct basiccalculations and generate reports as required
People
? Work as a collaborative and supportive member of the Shanghai Office Administration team,sharing workloads and providing assistance to other team members across Lines of Business so that, through the collective efforts of its team members, the Administration team is able toprovide a consistently high level of service to all Shanghai Office associates and their visitors
? Work as a collaborative and supportive member of Executive Compensation Line of Business,taking on appropriate tasks willingly and proactively identifying new ways to provide support andhelp accomplish organisational objectives
? Coordinate the workflow of the team members within Executive Compensation Line of
Business, providing assistance with diary management as required
? Strive to improve own skills by identifying strengths and development needs and seekingformal and informal development opportunities
? Coordinate Performance Management feedback requests and schedule career developmentand performance reviews as requested
? Organise induction meetings for new starters as appropriate
? Support other new starters activities, as necessary (i.e. prepare workstation, order businesscards and stationary)
Client
? Maintain the Client Information database
? Produce materials and coordinate mass mailing activities on behalf of the practice.
? Schedule client meetings
? Screen telephone calls for the Line of Business, responding to enquiries professionally andtaking messages as required
? Support logistics for events
Finance
? Assist consultants with their timesheets and expense entries
? Generate client invoices monthly or as and when required by the project manager
? Follow up on account receivables with clients
任职资格:
The Requirements:
? 1 - 2 years working experience in multi-national companies as secretary, assistant or otherpositions of a kind
? Ability to interact with clients and associates in a pleasant, professional manner by phone andwithin the office
? Ability to take a proactive approach to consistently delivering high-quality, accurate work
? Excellent organizational skills, good judgment, and a strong sense of urgency while carryingprojects through to completion
? Ability to prioritize while working on multiple projects simultaneously and gathering further clarification as necessary
? Expert computer skills using Power Point, Microsoft Word, and Excel
? Excellent written and verbal communication skills in both English and Chinese
? Easy going personality, and attention to details
