职位描述

Primary objective of the position

The primary objective of the Discipline Assistant role is to provide personal assistance to Principals, along with secretarial support to the discipline teams.


The Discipline Assistant will be expected to provide high level administration support with a commitment to high standards of presentation and service to the disciplines as well as contributing to an environment of excellence and integrity.


The Discipline Assistant will also be an active participant in the Business Support Team to contribute to a collaborative and proactive team environment.


Reporting

_Business Support Manager

_Principals and Discipline Leaders


Liaises with

_Business Support team, including Business Development and Communications

_ All Discipline Leaders and Principals

_Architecture and Interior Design team

_Landscape and Urban Design team

_All studio staff as required

Key Professional Skills and Experience

The following skills and experience are desirable:

_5 years PA/EA experience at a senior management level

_Exceptional telephone manner and organisational skills

_Strong word processing competency with a minimum of 70 wpm, and sound ability in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)

_Competency and working knowledge of the Adobe Suite package, particularly InDesign

_CRM and SharePoint knowledge preferred

_Industry experience desirable


Key Activities

Please note that periodically you may be asked to undertake activities outside of those listed below.

_Assisting Principals/Discipline Leaders in a personal assistant capacity; including diary management, database maintenance, client/consultant liaison, correspondence, typing/formatting and presentations

_Business/Admin Support including word processing and general correspondence, carried out with professionalism and accuracy for the discipline

_Assisting with the preparation and editing of submissions, marketing and business development materials as required

_Assisting with the preparation and creation of fee proposals, submissions and tenders

_Prepare a range of reports and sophisticated PowerPoint and InDesign presentations

_Updating contacts in Outlook as requested by Discipline Leaders

_Manage all correspondence for the discipline

_Type, bind and distribute reports, tenders, faxes, letters, meeting minutes, etc from dictation, hand written drafts, typed notes as required

_Provide assistance to the Business Support team with typing, filing and general administration duties, as requested

_Assisting in ensuring correct procedures of electronic and documentation filing/archiving are maintained on the system and SharePoint, coordinating with the Business Support team in this regard

_Take and type up meeting minutes when required

_Coordinate meetings, lunches, events as requested

_Coordinate national/international teleconferences as required

_Make/serve tea or coffee to HASSELL clients, as required

_Assisting with general filing and archiving of documents

_Undertake relief reception as required

_Maintain confidentiality in all operations

_Development and maintenance of procedures to ensure that professional standards are met

_Active participation in in-house initiatives – i.e. committees, focus groups and panels

_Co-operates with all Occupational Health and Safety policies and legislative requirements
