MAJOR FUNCTION 主要功能 :
Maximize revenue for the hotel through three areas: excellent event execution, up selling, and effective management of groups. Executing superior events will strengthen customer loyalty and increase repeat business opportunities. Up selling of events will result in increased total event revenue. Careful and accurate forecasting of rooms and catering functions, will allow for better revenue management, and increased total hotel revenue. This senior position manages larger, more complex groups and may provide leadership to Event Management team. 在宴会目标的执行,再销售和团队管理上帮助酒店达到最高的利润。负责重要的宴会来使得客人提高对酒店的忠诚度或成为回头客。同时,做到宴会中的再销售使得酒店的宴会利润得到提高。对宴会和房间进行准确和仔细的预报,这会帮助我们更好的做好酒店的营运收益管理和提高酒店的总体利润。这个职位是宴会统筹部门的领导,能够处理更复杂的团队。
SPECIFIC DUTIES 工作任務 :
· Manages larger, more complex or high profile groups.管理更复杂和要求更高的团队。
· Receives turnover documentation, ensures that information is accurate and that appropriate space is secured. Communicates room block information to Revenue Management/Reservations. 当收到合同后,检查并确保所有的信息准确无误。和营运受益部确认房间预订信息。
· Contacts customer by phone for introduction within 24 hours, reconfirms details of program. Sends letter of introduction, explaining role and benefits of Event Manager. 在收到合同后的24小时之内,通过电话和客人取得联系,介绍自己,确定细节。
· Manages all details of the event including food and beverage, meeting specifications, audio visual, room block, deposit follow up, and VIP requests. Up sells during event planning to increase revenue. Confirms receipt of all signed documents from customer. 安排所有的细节,包括餐饮部分,会议场地,音频视频设备,房间预订,定金和贵宾的要求。做到宴会中的再销售使得酒店的宴会利润得到提高。
· Forecasts group blocks and food and beverage projections. 预报团队的房间预订和餐饮的目标。
· Communicates event details to operation departments through BEOs, Group Resume, Group Cover Sheet and Pre-convention Meetings when needed. 通过宴会预订单,房间预订单和报告单以及必要情况下召开的事前会议来确保将所有的信息传送到各个相关的部门。
· Greets customer at start of event on property, and remains available to customer during the course of the event. Coordinates with operation departments to solve problems and/or suggest alternatives to previous arrangements. 在宴会开始时向客人问候,保证在整个宴会过程中和客人保持联系。和其他相关部门做好协调解决问题或提出各种不同的建议。
· Conducts post-event follow up meeting with customer in person or by telephone. Completes post event critique and shares with sales person. Reviews invoice for accuracy. Sends joint thank you letter with Meeting Planner Survey to customer. 在宴会结束后通过电话了解客人对宴会的评价,将信息回馈给销售部得体同事,将感谢信发给客人。
· Strives to meet measurable targets and goals, as assigned for individual and team. 帮助个人和整个团队来达到相应的目标。
· To ensure proper group forecasting and to work closely with the Director of Revenue Strategy Management on maximizing the revenue.确保预定的准确性,进一步和营运收益总监合作来达到收益的最大化。
· To prepare weekly with the Director of Catering and DORM for the weekly Sales & Marketing strategy meeting the updated Banquet forecast, group forecasting, actual group stays versus forecast group stays etc.在每周参加销售总监及营运收益总监召开的销售会议,更新关于宴会,团队的预报,比较预期和实际的宴会情况。
· To prepare a monthly report on internal communication break downs between operational departments / organizers.
