Role Description

Job Summary – (Role Summary)
The position is responsible for the general office management, Reception area including mail services, office stationeries, office daily supplies and general maintenance and administrative work as per the request from direct manager.
Essential Duties and Responsibilities – (Key Activities)
General telephone coverage including answering of general inquiries and redirecting of phone calls to relevant functions
Update telephone directories and supplier list
Greeting, directing and notifying the relevant functional heads/assistants of visitors to Beijing Corporate Office
Take the responsibility of visitor registration system, which has been implemented in Beijing Corporate Office
Receiving of courier services and other deliveries and liaise with courier companies for picking up of outgoing packages
Sorting of incoming mails, newspapers, packages and making internal distribution
Ordering, receiving and monitoring of supplies for office general consumption, e.g. beverages and snacks in office pantries
Assist in receiving and distributing office stationeries and IT facilities requisitioned by the functions
Daily supervision of the cleaners to ensure that the cafeteria, pantries, reception and mailroom are neat and tidy at all times
Office related expense reimbursement and petty cash management
Assist in CIIC service, office business license renewal and other HR related assignments
Daily check on lightings, ensure that damaged lighting is replaced immediately. At the same time, purchase and ensure sufficient stock of lighting bulbs
Liaison with building management, electrical and renovation contractors, cleaning contractors, air-con servicing contractor, equipment maintenance contractors and all office related third party suppliers
Assists in organization of office space and office renovation project; coordinates moves, purchase and delivery of new furniture and equipment
Provide admin support to TGIF and other Fun Committee/Company activities(e.g. townhall ) in Beijing Support Center
Backup admin support to Function leaders

Role Qualifications and Technical Skills

Required Skills –
Detail oriented, responsible, adherence to deadlines
Effective communication skills in oral and written
Good oral, written English and strong interpersonal skills
Good office automation skills
Experience -
Minimum 3 years reception, administrative support or customer service experience required.
