Summary:

The Administrative Officer’s (AO) primary duties are as Contract Processor, responsible for the accurate and timely processing of all documentation including customer club ownership applications, loan financing agreements, issuing of receipts for deposit monies taken, and ensuring the accuracy of all documentation relating to a club application.

The position is also responsible for the accurate accounting and recording of all monetary funds received. The Administrative Officer acting as Contract Processor will ensure that all required documentation is received and is accurate by checking off the Document Checklist.

Additional responsibilities include maintaining files on all new applicants and ensure that for security all original & copies of documents relating to new applicants is secured in locked file cabinets. The Administrative Officer will regularly update management at their preview centre and the Administration Manager on any missing or overdue documentation to ensure all sales applications are closed on time as per the established timeline for applications. The AO in contract processing will maintain a status report keeping details on the status of each sales application that has not closed.

In this particular position another responsibility will include overseeing administration and coordination of marketing efforts identified as the Guest Preview Program, Anantara Sanya Resort and Spa In-house Guest invitation and off-premise Guest Service Relation program, both designed to invite qualified prospects to visit Anantara Vacation Club Preview Centre presentations on the features and benefits of ownership. All plans, efforts and results are to communicated and reported as per schedules and at the request of AVC China marketing leaders.


Essential Duties & Responsibilities:

Includes the following; (Other duties may be assigned)

·Assist AVC Consultants and managers with any application contract requests

·Prepare all contract documents when guests apply for Ownership. Review all documents for accuracy and ensure contract originals are dispatched as per the schedule established,

·Communicate with Managers to ensure all contract documents are neat, accurate and comply with company policies and procedures, as well as any regulatory requirements,

·Act in an advisory position to managers and representatives to ensure compliance of company policy and procedures relating to contract documents,

·Support the production of qualified tours through direct bookings, lead collection or package sales. Driving tour delivery from GSR, In-House, Referrals, Events & Promotions.

·They work in accordance with budgeted targets established for each of AVC’s Preview Centres.

·Line leadership and supervision of GSR team leaders and GSRs

·Liaise with Human Resources and Marketing Supervisors regarding recruitment for new GSRs.

·Assist in the interview and hiring process for new Marketing GSR Team Leaders and associates, as required.

·Oversee GSR performance expectations, and communicate to all GSR associates and supervisors

·Ensure that at all times you represent the company in an ethical, moral and professional manner, ensuring that the company and its associated brands are not compromised,

·Respect and participate with your fellow colleagues to maintain a ‘one team’ ethos.

·Checking weekly duty roster and record the attendance of all associates work in Sanya preview centre, keeping track of any changes involved with regard to change of duty roster or personnel on emergency leave such as medical leave or compassionate leave. Provide monthly attendance report to NEA HR officer.


KEY PERFORMANCE INDICATORS:

·Accuracy of sales application data entry

·Timeliness of follow up with any outstanding documentation and/or issues in relation to unclosed applications

·Attainment of high internal and external customer satisfaction,

·Has good standards of grooming, personal hygiene, dress code and maintains punctuality,

·An active and positive team member,

·Performance reviews will be conducted on a regular basis and may require coaching programs to enhance skills and overall productivity. This position will be measured against the following criteria:

·Achieving budget requirements in relation to tours, leads, package sales, and cost control.

·Maintaining associate satisfaction with their role through motivation & morale building

·Ensure that AVC operational standards are met in relationship to Team Values and Goals in dealing with internal and external contacts of AVC

·Ensuring staffing levels are at a sufficient level to cover all promotional sites and hours

·Displaying personal motivation and effort to assist in the smooth operations and profitable performance of all promotional events.

·Demonstrating willingness to seek new knowledge in the forms of management skills, motivating employees, morale building and sales techniques, through reading, researching and seminar attendance.

·Ensuring that AVC standards are met in relationship to Team Values and Goals in dealing with internal and external contacts of APVC

·Achieve specific monthly tours as required in the overall project budget.


Education and/or Experience:

A Minimum of six months to one years related education and training; plus business and/or administrative education.

·Previous experience in accurate data contracts control and clerical, numerical competency,

·High school or equivalent standard of education,
