职位描述
GENERAL MISSION:
Base on Auchan Policy and Ethic Rules, coordiate with all department, the Receptionist,with the administrative team, is responsible for:
- Daily reception;
- Providing reservation issues for air tickets and hotels;
- Office administration, such as meeting room management, property coordination, commodities management and newspaper stand management,etc;
- Providing supports to all administrative tasks;
- Management of mail and express;
- Other tasks assigned by Admin Manager
JOB RESPONSIBILITIES:
Reception
Call Operator
- Telephone answering, switching and filtering (e.g. calls for advertising, sales and
Headhunter, etc.)
Visitor Receipt & Register
- Receiving the visitors, including register the visitor's information, allocate visitor card, record leaving time and take back the visitor card;
- Filtering the advertising people and salesman.
Interview Assistance
- The same procedure of Visitor Register, register interviewee's information and allocate visitor card;
- Ask the interviewee to fill in the related forms, then binding all materials and contact
with HR staff.
Reservation
Hotel Reservation
- To reserve a hotel, the receptionist needs to distinguish different reservation requirements of different hotel (Agreement Hotels, Other Hotels, Hotels in Hong Kong and Taiwan, etc).
Air / Train Tickets Booking
- Contact with the related ticket center to book tickets;
- Collect details of the bill and filing related reports.
Stationery, printing paper controlling & purchasing
- Send a email for reservation to the coordinator of all departments every month before order stationery;
- Check and distribute the received stationery;
- Classify the data on the bill and filing the related reports.
Office Administration
Meeting Room Management
- Manage the reservation of Video Conference Room and all instruments;
- Check and debug the instruments in the Video Conference Room before lending with the help of IT staff (e.g. Video equipment, air-conditioner, reticle and power supply, etc.)
- Update all the reservation list timely
- Do the cleaning management of the meeting room regularly
Property Coordination
- Inform property about the problems like breakdown and environment pollution;
Office Commodity Management
- Registration of employee's name who applies for the tissue;
- Management of tea, coffee, coffee capsule and drinking water. Check the stock in time to ensure sufficient supply;
- Maintenance and management of the drinking water machine and green plants;
- Maintenance of office equipment (except IT facilities);
- Maintenance of the sanitary of office environment, e.g. passageway, office area and show room, etc.
Management of Newspaper Stand
Administrative Tasks
Preparation and assistantce for all kinds of event
Supporting application of Visa and certificates for expatriates
- Prepare application materials for Visa or other certificates;
- Sending and receiving the application materials for Visa and Working Permission.
Name Card Management
- Coordinate the name card manufacture.
Attendance Record Assistance
- Sign on the Presence Without Badge Record Form and pass to the employee.
Management of staff parking card and sports coupons
Mail and Express Management
Mail and express delivery and receipt;
- Check information and sign in;
- Registration of mail receiving list;
- Inform the recipients to pick up and sign in timely;
- Collect details of the bill and filing related reports every month;
- Collect and distribute the mail from the mail box regularly;
- Communicate with the express company regularly to ensure the time allocation and sufficient supply of express materials such as information pack and carton;
- Keep the mail room clean and tidy.
Others
Finish other tasks assigned by Manager
TECHNICAL SKILLS, KNOWLEDGE & EXPERIENCE:
- The ability to cooperate and communicate with employees at all levels is essential.

- Skills in handling emergent issues is preferred.

Education Background:
- Degree: College degree or above
- Major (or related): Administration Management / Hotel Management / International Trade or some other related major

- Efficient with Microsoft office (Excel, Word, Powerpoint...)
