职位描述
Title: Office Administrator
Main Responsibilities:
1. Mail & Messenger Service Management
-Mail monthly report
-Local vendor mgmt and corporate with SH mailroom
2. Smart Printing Management
-Work with Canon and GTI, based on regional guidance and business document processing needs to provide proposal to LOB’s inquiry an ensure the whole preparation well completed from leasing contract, machine configuration, delivery, installation, IT support to machine’s final working;
-Manage other old non-Canon MFDs and publicly shared single function devices on proper maintenance;
- Guide and explain to local users for Corp policy, current practice and any concerns per printing, fax, copying and scanning functionality;
- Periodically meeting with Canon on MFD performance review, paper processing report, cost-saving printing, service feedback and so on.
3. Sourcing and Procurement Operations
-Contracts filing;
-Sourcing support and analysis per the business’ request;
-All e-Purchase related operation support: approve PO in tool, user daily support;
-Communicate with local suppliers per any issues, like product, service, price, delivery, invoice, payment etc.
-Blackberry user support.
4. Travel Service
- Service issues follow up and improvement supervision to local supplier;
-Work closely with regional Travel Manager on service providers’ performance review and periodical report;
-Support hotels and airline negotiation and RFP;
-Communicator between travel agent and end-users for travel updates and issues;
-Local interface for unlisted suppliers application, service check and feedback to Travel Manger
eHi car service coordination
5. Public Supplies & Pantry Equipment Maintenance
-Order all pantries and meeting rooms supplies for SHA office areas that shared by all legal entities;
-Order envelops, letterheads, barrel water, printing paper etc. that shared by all LIB SHA Branch;
-Supervise tea lady for panty supplies’ daily checking and maintenance, for SHA Branch area office supply daily checking and maintenance;
-Responsible for pantry equipments and related issues
-Manage tea lady for daily duty.
6. Central Transportation Service
-Daily car/driver dispatching
-Driver mgmt
-Communication with users
-Daily support to users with EMS booking tool
-Monthly cost allocation and payment
