SUMMARY
This position has the overall responsibility of oversee the administrative aspects of the Asia offices in China, TW and India. In addition, provides secretarial assistance to the General Manager of Asia Operations and supervisory responsibility of receptionist of China office.
RESPONSIBILITIES
· To lead Shanghai new office site and fit out negations with landlord and service providers. To manage the new office fit out project and ensure project completion on time and cost on target. To understand government policies for rep offices in China and TW and ensure all rep offices certifications, tax and practices are in compliance with country governments requirements. Investigate and develop a complete understanding of India office status and make recommendations to the GM on proper office status Dorman should have in India.
· To work with HR and develop process and procedures for travel expenses, review expenses reports for all three offices in Asia.
· Supervising the receptionist and other general office duites.
· To perform general administrative duties for GM and senior leaders including visa related applications, planning and scheduling meetings, conferences, teleconferences, business travel arrangements including hotel & transportation reservation, diary/calendar arrangements.
· Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
· Prepares reports by collecting and analyzing information.
· Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
· To manage meeting preparations, take and issue meeting minutes and follow up actions as required on behalf of senior leaders.
· To prepare, translate, type, edit and copy documents including strategy documents, meeting documents, presentation slides, communication letters, speech, reports, meeting materials etc.
· Welcomes and receive guests and provide administrative support and services.
· Communicate with local authorities regarding legal related issues, keep and maintain Dorman legal documents, certificates, license etc.
· Maintains customer confidence and protects operations by keeping information confidential.
· Office administrative supports as required, including office stationery, office supplies, company activities including outing, annual party etc.
