职位描述

1. POSITION SUMMARY
This position is responsible for all spare part related logistics and customs clearance coordination, including internal order of spare parts, receipt of the orders, customs clearance liaison with designated agent, stock management, warehouse EBS system management and spare part shipment and delivery to the Customers. He/She works closely with spare part sales division and support service division to fulfill various internal and external requirements on spare parts.
2. DUTIES AND RESPONSIBILITIES
Order and Receipt
? Create SPC orders (via EBS) and purchase from HQ or local suppliers. Follow up with HQ or local suppliers on our spare part purchasing order and status.
? Check and confirm the receipt of the ordered spare parts and consumables.
? Check quantity and items as per order list.
? Update EBS and stock received items in Shanghai warehouse.
Stock Management
? Maintain safety stock according to business needs.
? Carry out stock-taking and draw stock analysis report on a quarterly basis.
? Maintain a safe and tidy condition of the warehouse.
? Manage and maintain warehouse management database system on a daily routine basis.



Return Parts Process
? Follow return part policy and sort out return parts and update EBS inventory. Return parts to HQ when needed.
Liaison on Taxation and Custom Clearance
? Arrange tax payment on received spare parts and collect relevant documents.
? Liaise with designed agent for customer clearance and collect relevant documents.
? Scan and update relevant documentations in our public drive for proper internal records.
Delivery arrangement
? Place parts to be delivered to internal customer (i.e. Field Engineer) in Shanghai warehouse.
? Prepare delivery note and pack the parts to be delivered to external customers.
? Arrange and liaise with local designated courier for the delivery and details.
? Communicate with Customers on delivery status and provide racking details.
Reports
? Draw various reports on spare part delivery, consumption and clearance, including
- Subsidiaries stock movement report
- Return from field spare part list
- Internal order follow-up report
- …….
INTERNAL & EXTERNAL RELATIONS
? Headquarter in France. This role communicates with headquarter on a daily basis on all spare part orders and delivery follow up.
? Customer. He/She contacts customers and inform the part shipment and delivery status.
? Internal customers. He/She is responsible to arrange spare parts to engineers efficiently and collect and handle return parts on a daily basis.
? Customs clearance agent. He/She works closely with customs clearance agent to ensure the effective and efficient operation on spare parts customer clearance process is completed.
? Spare Part sales division. He/She collects orders from spare part sales division follow up with headquarter and customers.
? Finance division. He/she works closely with Finance Team on Taxation and Customer Clearance payment related issues.
3. EDUCATION AND/OR EXPERIENCE:
? College graduate or related (degree in logistics)
? >3 years work experience in warehouse management within a foreign invested or joint venture company
? English requirement: good in reading and writing (CET4), sound listening and speaking
? Knowledgeable with Microsoft Office products (Word, Excel, and Outlook)
4. POSITION QUALIFICATIONS:
? Excellent communication and interpersonal skills;
? Familiar with in-house warehouse management database system
? Well organized and highly motivated;
? Excellent planning, scheduling, follow-up skills;
? Able to spot on and comment weakness of existing process (if any) and propose proper improvement plan
5. TRAVEL:
The job is based in Shanghai and no travel is needed.
6. SALARY:
? Annual total gross salary (100% achievement): CNY120K according to experience.
? Variable representing 7% of the total salary. Variable are linked to the achievement of targets set in Score Card.
