Customer Services Officer
Reports to Asia-Pacific Customer Services Manager based in HK
JOB DIMENSIONS
- Coordinate orders placed by network customers for delivery in the local ports
- Handle orders placed by direct customers in China
- Maintain customer relationships
ACTIVITIES
Customer Services and Logistics
- Provide timely and right information for customer's enquiry on price, product availability and extra costs. Extra costs must be accepted by customer.
- Ensure purchase order from customers are acknowledged timely and entered into the system Right First Time
- Ensure customers with credit limit block are flagged to AP Credit Manager and Marine Manager in-charge for resolution before arrangement of delivery
- Coordinate with worldwide network partner or distributors to arrange deliveries for direct customers in ports listed in the port directory
- Avoid mis-delivery and minimize cost of delivery. In the event of mis-delivery or shortage, seek alternatives and provide options to the customer. If this leads to a customer's complain or additional cost incurred, alert the supervisor immediately
- Ensure prompt receipt of signed ship receipt and update of delivery confirmation in the system for invoicing
- For CSC with responsibilities for network orders, ensure orders from system is promptly reviewed and handled over to internal logistics or 3rd party logistics service providers for arrangement of delivery
- Ensure orders executed are in compliance with Total's ethics and Company control policy
Administration
- Handle e-mails and answer telephone enquiries. Incumbent is expected to be on-call 24 x 7 due to the nature of the business
- Perform filing and archiving
- Perform ad hoc tasks upon management request
- Back up within Customer Service Team
ACCOUNTABILITIES
- Primary contact for direct customers and network customers in the processing and coordination of the delivery of our products.
- Ensure effective and efficient process in place to quote and deliver to the right customer the right product, right quantity, right price, right date and right vessel
- Expected to seek alternatives for exceptional orders and resolves customer's complaints
QUALIFICATIONS / EXPERIENCE REQUIRED
- 3 year of working experience in the area of customer services. Experience in logistics will be an added advantage
- Good communication and interpersonal skills, attention to details
- Proactive & innovative in seeking alternatives
- Language : Fluent English and Mandarin and local dialects as appropriate
