工作描述:
Support 4 foreign manager
- Manage the complete travel arrangements of senior managers, from air-ticket and hotel bookings, to visa application and local logistics, agenda booking and proactively communicate with senior managers on those trip arrangements
- Proactively manage APAC zone management calendar, including the scheduling and logistics of monthly meetings (physical or by visio-conference or conference call), sending and monitoring meeting invitations, sharing travel schedules of management team
- Assist the senior managers in arranging meetings in and off the HQ office: book meeting rooms (in or outside the offices), invitations, prepare print-outs and other resources (VC, projectors…), liaise with company’s drivers for managers appointments outside the office etc.
- Assist visiting managers from other countries and locations to the APAC HQ, e.g. hotel booking and local transportation arrangement in coordination with their assistants, arrange appointments and other activities
- Ensure efficient flow of files and documents related to the senior managers within the company (mails, expense claim reports and various validation forms etc.)
- Maintain, update and share within the management team useful internal and external contact lists, general information on the APAC zone entities, company’s organization charts and other
- general information documents
- Receive, re-direct and respond, as appropriate, to phone call queries
- Prepare essential correspondence and draft responses for routine correspondence both in English and Chinese
- Provide oral and written translation as required.
- E-mail management – print and/or respond as necessary
- Process invoices and prepare expense reports for reimbursement
- Filing, photocopying, opening the mail, other special projects
- Coordinate Company’s staff events or parties as needed
职位要求:
- Relevant Experience and Qualifications:
- Bachelor degree or above, English major is preferred
- Good English/Mandarin speaking and writing skills
- 5+ years experience in an assistant or secretary to senior manager position or similar
- A strong computer skill in MS Office, advanced skills with MS Word, Excel, PowerPoint, experience with MS Visio and Adobe Acrobat is an asset.
- The ideal candidate should satisfy the following requirements:
- Excellent business ethics and integrity
- Detail and service driven individual with a professional manner and positive attitude
- Demonstrates a methodical work organization
- Strong communicator, both written and verbal
- Proactive, taking ownership of ensuring reliable assistance to managers with minimum instructions from them
- A self-starter, able to work independently and as part of a team
- A quick learner, quick response to any task assigned
- Ability to meet deadlines and demonstrates effective time management skills
- High confidentiality, tact and discretion when working with people
- Relationships:
- The Executive Secretary is in daily contact with Asia Pacific Management Team located in the different countries of the Asia Pacific Zone (APAC zone), and has regular contact with senior management team & Executive Team Assistants around APAC zone.
