职位描述

Mission:

· Support Regional Project Manager and Regional Project & Portfolio Manager in project administration of the routines projects and administrative work in Regional Project Management Office

· Understanding PMP basic methodology to support key project tracking , KPI database maintaining/reporting. Prepare project portfolio report/consolidate project road map for management review.

· Support project management tools deployment and maintenance such as SPoT, Prior1 time, SCAN, SAP


Dimensions:

Assist Regional Project Managers and the Regional Project & Portfolio Managers to meet project objectives and Project Management Office KPI

Job Description:

PMO Administrative

· Manage major RPM meetings/workshop/training ; with participants from multi countries, visitor/guests accommodation/transportation/invitation letter with concerned parties, issuing agenda, meeting update/minutes

· Setup project meeting, send meeting invitation and check participants availability

· Travelling, lodging arrangements for RPMs according to corporate policy.

· Prepare presentation, gather projects data & prepare spreadsheets, project portfolio report/consolidate project road map for management review

· Coordinate tele(VDO)conference meeting among design centre , manufacturing sites in various countries, Business Development as requested by RPM

· Travelling expense reimbursement review according to company policy and submission for approval

· Dept. Stationery Management, non-Production item purchase according to company policy


Project Management Administration

· Track, report and communicate KPI project metrics in a type of scorecard monthly

· SPoT administrator; apply SPoT to support project management, extract report from SPoT for RPM review. Data maintenance in SPoT and Prior1 time

· Stage gate tracking report to align actual action Stage gate report and dashboard

· Project Budget vs actual spending report

· Capacity loading of RPM report, man-hour report

· Support RPM in project admin. work related such as documents or samples courier Management

· Support RPM in raising PR/PO and follow up payment as required.

· Conduct translation of Chinese document for project deliverable from parties which’s got difficulties to provide Document in English as needed


Communication and coordination

· Provide Employee Orientation, overview of RPM function, Basic PMP to new comers

· Communication RPMs events, coordinate with HR for company programs deployment

· Work with HR to support the new comer program in RPM

· Communicate to all parties for data preparation before the date line and follow up the completion of data preparation for for Prior1 and SPoT.

Document control

· Project no. control; assign project no. according to project no. format given by RPM

· Project efiling, form control , maintain project database, PMP and related procedures


Continuous Improvement

· Proactively initiate, develop, recommend and deploy improvements and additions to best practice processes for the team

· Ensure all processes are documented and published in the relevant System as required

· Ensure consistency between project data in all system tools

Requirement:

1. Required skills & knowledge for the position:

Technical Skills - Required a basic knowledge of the company, industry, products or service.

Professional Business Administrative and basic project management


Computer Skills - Power Point, Excel, Word, Database Management

- Type skill- minimum 50 word/min


2. Required Educational Background & Professional Experience

Education - Degree in English, Accountant, Information Technology or other related disciplines


Working Experience - With 5 years' relevant experience.

3. Languages:

Very Good command in English and Mandarin

4. Other Requirements:

Aggressive to follow commitments for projects and reporting; Time commitment; Good communication skill;
