Job Description

Title : Personal Assistant – Digitas LBI

Location : Shanghai

Report to: Asia Pacific President – Digitas LBI

Key Responsibilities

§ Arrange requested appointments, visits and travels for the President so that her time is used effectively; keep President’s diary up to date;

§ Co-ordinate arrangements for a variety of meetings, internally and externally, including the assembling of appropriate material, reservation of meeting room, the efficiency of meeting equipments as required, to ensure the smooth running of these meetings;

§ Maintain and update, as required, a filling system, which ensures President’s documentation is easily accessible to her;

§ Prepare expense reports regularly, and follow procedures to help President get reimbursed according to the Corporate Policies ;

§ Follow the local expatriates’ laws and regulations and help President and her family to solve personal issues such as residency registry, visa application, home leave and logistics.

Main Competencies:

§ Bachelor’s degree holder or equivalent, majored in English, Business Administration or related subjects;

§ Fluent in both oral and written English;

§ Above 5 years secretarial experience; previous a PA / an Assistant to a senior expatriate experience preferred;

§ Knowledge in the operation of media (or advertising) agency preferred;

§ Excellent interpersonal ability & Crisis management skill;

§ A self-starter with the willingness and desire to "roll up your sleeves" and get the job done;

§ Maturity and sensitivity to manage scenarios with multi-stakeholders.
