Import/Export Coordinator

BASIC FUNCTION:

• The Import/Export Coordinator operates in a highly regulated environment and is responsible for overseeing all operations related to customs in WGQ free trade zone. The position calls for the direct interface with, Global Trade, Procurement, Receiving, Project Management, Clients, Couriers, Brokers and Depots.
• The essential functions of this position include but are not limited to: Creating and reviewing import and export documentation, coordinating/processing all import/export operation, ensuring import/export regulatory compliance, auditing documentation, participating in Global Trade functions.

SPECIFIC DUTIES, ACTIVITIES, AND RESPONSIBILITIES:

• Ensure all relevant Regulations, Standard Operating Procedures (SOPs) and Customer protocol’s are being followed in accordance with Good Manufacturing Practices and Good Distribution Practices.
• Review distribution protocols for import and export regulatory compliance.
• Review import documentation to ensure compliance.
• Assist in the creation of import documentation.
• Communicate with customers with regards to import and export activities.
• Coordinates international depot shipment activities in accordance with project requirements and available resources. Notes potential issues and takes action to prevent their occurrence when possible and escalate when necessary.
• Schedules international couriers in order to meet distribution schedules.
• Confirms all international import/export documentation requirements prior to dispatch of shipments and verifies accurate documentation.
• Confirms cold chain materials and delivery method expected transit and release lead-times for supply chain.
• Communicates effectively and timely with internal and external customers as necessary to facilitate integrity of supply chain.
• Monitors project stock of shipping materials required to execute international shipments.
• Escalates out of scope activities to Logistics Management and Project Management.
• Assist in preparing shipping documentation and proper and working with regulatory compliance at site and corporate levels to ensure accuracy.
• Investigates and resolves accountability discrepancies.
• Continually improves knowledge and serves as Subject Matter Expert on international supply chain best practices, sharing knowledge and training within and across sites.
• Works collaboratively with peers across Catalent network to develop and implement best practices.
• Perform role of site Global Trade Compliance Officer
• Performs other duties as assigned.

pOSITION rEQUIREMENTS:

• Bachelor degree or above in logistics//supply chain/trade or other relevant disciplines.
• >5 years relevant work experiences gained in WGQ free trade zone, experienced in processing operation of bonded and Non-bonded warehouses and dealing with WGQ authorities such as customs, CIQ, SIDC, etc.
• Possess a thorough knowledge of departmental practices and procedures related to distribution of clinical supplies. Excellent knowledge of IATA and Cold Chain UN-Packaging for shipping and storing requirements. Plus knowledge of international import and export requirements in regard to Investigational Product supply chain.
• Demonstrated experience in process improvement and problem solving.
• Have a good command of English, familiar with Windows office applications
• Good communication skills.
• Feel comfortable working in a global environment.
