Title: HR Advisor – China

Report Line: Global Head of HR

This role is responsible for providing support in all HR matters during the employee life-cycle including recruitment & selection, induction, career and performance management, payroll, training, the exit process and general HR administration. Deputize for the Associate Director P&P China as required.

Responsibilities:
1. Recruitment & Selection
1) Assist with the recruitment process (interviews, interview guides, coaching managers,
etc) ensuring that managers are provided with appropriate resources and support to recruit and select effectively.
2) Assist in developing and maintaining relationships with preferred recruitment agencies, as required.
3) Assist in monitoring the effectiveness of various approaches to recruitment.
2. Induction
1) Co-ordinate approved induction procedures and programs for new employees to ensure that new employees understand the company’s policies and philosophies and are able to operate effectively as soon as possible
2) Liaise with relevant Director/Manager to ensure that they have made any necessary induction arrangements specific to the team and/or department
3) Liaise with new employees throughout the probationary period to ensure that any questions or concerns are dealt with
4) Liaise with the relevant Director/Manager throughout the probationary period to ensure that any questions or concerns in relation to the new employee are dealt with
5) Meet with employee at the end of the probationary period for review discussion to solicit feedback on recruitment and induction processes. Report on feedback to Associate Director, P&P
3. Manage Career and Performance Management
1) Manage the Career and Performance Management Process for specific group of employees which will involve the following:
- Schedule annual Career and Performance Management discussions with employees and managers.
- Coach managers to effectively conduct these discussions prior to there commencement
- Facilitate these discussions and document them.
- Ensure follow-through on issues raised in annual discussions and meet quarterly with employee contacts to assist with follow-through and ensure ongoing dialogue.
- Elevate issues, points of concern, etc to the attention of the Associate Director, People & Performance –China as appropriate.
- Coach managers in handling performance management matters for designated group
2) Assist managers in the development of Individual Development Plans (facilitate and document the discussions around IDP’s)
4. Payroll
1) Be responsible for the co-ordination and management of the China payroll process for all countries including preparing payroll, checking and signing off
2) Act as global point of contact for payroll provider management purposes and offer to support to other regions as required
5. HR Administration
1) Maintain up to date files for all employees in China and follow up on any documentation required.
2) Create offer letters and new hire packets for employees
3) Assist with collection and forwarding of employee paperwork as required and create personnel files
4) Ensure appropriate paperwork and databases are updated with any employee changes
5) Keep local organizational structures up to date
6) Maintain up to date position description database for China employees
7) Maintain human resource policy documents and ensure they are up to date.
8) Create confirmation of service letters, certificates of service, transfer letters and confirm employment for past employees.
9) Create and maintain all termination paperwork.
10) Maintain all P&P files and ensure that documents are filed in an efficient and timely manner.
11) Manage Company contracts including car leasing, temporary workers, insurances, pensions
12) Be responsible for completing any reports required by official bodies
6. Other
1) Assist with HR projects as required at country, China and international level
2) Respond to general queries in a prompt and professional manner.
3) Ensure confidentiality of all P&P related information. Ensure that all sensitive information is locked away and that a password-protected screen-saver used on the computer
4) Keep up to date on new legislation


Requirements:
1. Minimum of 5 years relevant HR Generalist experience or equivalent
2. Excellent both English oral and written skill
3. Understanding of relevant legislative requirements and their implications.
4. Substantial Chinese employment law knowledge
5. Knowledge of where to source information from various external bodies when required.
6. Intermediate PC skills (Microsoft Word, Excel, Powerpoint)
7. Experience with HRIS system
