Job Purpose


Develop and sometimes acquire high quality topical and special issues and handle and maintain review journals and invited review articles, by pro-actively analysing possible topics and by approaching guest editors and potential authors, in line with agreements and policies as set by the publisher, in order to improve overall journal quality. Manage content and production of conference abstracts / CDs, according to agreed formats and to set deadlines and provide on-site support to conferences.

Internal: Publishers, other publishing staff, and Conference Project Lead. Other members/managers within the business process (Project Managers, Production, Operations, Marketing, Commercial sales, and System Owners)

External: Guest Editors, Editors, Editorial Board Members (EBM), Review Article Authors, Conference Organizers, Conference Scientific Chair/Committee, authors and delegates.


Key Result Areas


Conference content management


· Take end to end responsibility for conference support from idea generation to onsite conference support for 1-3 conferences per annum

· Act as main point of contact for and maintain excellent communications with scientific committee, conference chair, invited speakers and authors

· Manage timelines and deadlines for creation of scientific content for the conference

· Manage the conference abstract submission process and create the abstract book

· Provide onsite attendance and support to the conference manager


Special Issues and review articles: special content acquisition and content management, commercial bulk sales


· Create annual “vision and action plans” for special content in consultation with publisher and in alignment with publishing portfolio plans

· Work with publishers, editors and editorial board members to identify topics for special issues and review articles in line with publishing portfolio strategy

· Work with publishers, editors and editorial board members to identify potential guest editors and authors for special issues and review articles

· Liaise with guest editors and review authors to confirm topic coverage, formats, and timelines, once the special issue / review proposal is accepted by publisher and editors

· Negotiate bulk deal agreements for special issues

· Monitor special content quality by tracking citations and downloads in comparison with regular content in publishing portfolio

· Feedback quality reports to publisher, editors and guest editors as indicators of success and input for further portfolio strategy planning


Day to day publication management of special content


· Set up EES system for special content

· Generate special issue contracts and get these signed and stored

· Send out thank you notes to guest editors and authors upon project completion

· Maintain the pipeline of special issues and invited review articles by timely and accurately recording progress in SID/JCI

· Oversee invoicing of bulk deals

· Take full ownership and manage the publication process for each special issue by tracking progress, chasing guest editors and authors and ensuring all timelines are adhered to

· Ensure all special issues are published in time and in accordance to publication schedules

· Ensure all bulk deals are delivered in time and are financially realized in accordance to commercial bulk revenue budgets


Customer relationship management

· Guide guest editors through the special issue process

· Maintain excellent communications with all special content stakeholders, internally and externally

· Establish productive collaboration with publishers

· Act as single-point of contact for special content on all non-production related matters for all stakeholders, internally and externally

· Liaise with journal managers and local supplier managers for production and dispatch matters


Overall development of special content


· Actively contribute to and participate in special content development initiatives outside of regular work such as further workflow improvement, communications initiatives, local author workshop organization, etc.

· Pro-actively flag areas for improvement in relation to special content acquisition and publication

Required Education and Experience:

Minimum University degree, preferably M.Sc. level

3 – 4 years relevant experience, preferably in the publishing industry
