Job Summary: Provide personal administrative support to the CEO. Duties including general clerical, office work flow, appointment, correspondence, receptionist and project based work. Project a professional company image through in-person and phone interaction. Perform duties of a sensitive and confidential nature.
Duties and Responsibilities
· Perform comprehensive secretarial and administrative duties on a timely, efficient and accurate manner
- Prepare correspondence, reports, and materials for publications and presentations.
- Setup CEO's travel arrangements, and maintain CEO's calendar.
- Setup accommodation and entertainment arrangements for company visitors; setup and coordinate meetings and conferences, as well as create, transcribe, and distribute meeting agendas and minutes.
- Answer telephones, screens callers, and handle in appropriate manner; meet and greet clients and visitors.
- Perform general clerical duties to include but not limited to: photocopying, faxing, and filing.
- Establishes and maintains permanent files; files and retrieves files as requested.
- Manage and coordinate all aspects of corporate communications including write the press releases in both Chinese and English; and Filing and updating media database and provide media monitoring.
- Under the support and guidelines established by Global Corporate Communications, liaise and build relationship with the network.
- Coordinate project-based work and supervise support staff.
- Performs other related duties as assigned.
Knowledge, Skills, and Abilities
- Superb command of written and oral English (CET-8 or above)
- Excellent organization skills with a strong orientation to details, and discretion with confidential information.
- Excellent knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping.
- Excellent knowledge of modern business communication, including style and format of letters, memoranda, minutes, and reports. Duties require professional verbal and written communication skills in both Mandarin and English.
- Proficient with Microsoft Office. Computer literate with the ability to learn new software applications. And skill to type 60 wpm in both English and Chinese.
- Ability to establish priorities, work independently, and proceed with objectives with little/ or without supervision.
- Team player with good interpersonal skills to work across multiple departments
· Ability to learn new things fast, to multi-tasking abilities, and to work under pressure.
· Ability to convey a deep understanding of interactive marketing, and to write persuasive headlines, marketing material, white papers, and speeches
- With a high level of energy, commitment, professional manner and a passion for results.
Credentials and Experience
- University degree (min. Bachelor; ideally Business Admin., Marketing, English or related field)
- 5+ years working experience of in fast-paced Western or multi-national corporation.
- Working experience with 4A agencies is a plus
