职位描述

Primary Purpose of The Position

Keep a harmonized and safe office environment. Maintain a long-term improvement office facility and equipment. Create a soft environment and culture in the office. Drive high service quality and continuous improvement in the efficiency of Admin service.

Responsibilities:

Office Management
Manage all office day-to-day operations to ensure expected service levels can be met efficiently, reliably, and economically.
Ensure office administration standardization and procedures are appropriate for business needs.
Monitor, review and approve standard expenditures within budget.
Oversee the Environment Health & Safety matters in the office.

Admin Service
Manage general administrative requirements.
Manage and renew business licenses, employee work permit, etc.
Manage office supplies, stationery, business card, food, drinks, etc.
Coordinate all travel arrangements, domestic and international, including visa applications.
Support on the hospitality arrangement for visitors such as pick up, hotel /air ticket reservation, etc.
Initiate and organize local team-building activities which include GYM, health enhancement, physical tests, birthday celebrations, family days, etc. to build a healthy and positive working environment.
Gift arrangement for both external customers and local employees.
Work with HR and managers to facilitate on and off-site interviews, team meetings, as well as employee onboarding and exit process.
Daily operations include postage/ courier service, office access management, financial files/invoices supervision, commercial insurance support, etc.

Facility Management
Lead office renovation, expansion, relocation, and new office setup.
Manage Shanghai office lease including landlord maintenance, leasing contract renewal, or termination.
Manage the cleaning, repair, and maintenance of facility equipment, take proactive action to service vendors if necessary
Manage office space including seating, vacancy forecast, and planning, and ensure the safety, security, and emergency response execution.
Work with the global IT team to manage the inventory of IT equipment.

Requirements:
Bachelor’s degree or above.
At least 2-5 years of office admin experience.
Experience in leading office relocation and renovation projects is preferred
Strong communication and interpersonal skills.
Solid and hands-on experience in both hard and soft service management.
The proven ability to drive improvement in service, efficiency, etc.
Proactive service attitude.
Fluent in oral English and written English.
