职位描述

Job Purpose

To assist and support the running of the office in an efficient and cost effective manner and to support business development and marketing functions.


Tasks and responsibilities

Office Management

  • Greet and manage incoming guests, visitors, postman, service vendors, etc.

  • Manage incoming phone calls and inquiries, and setup conferences and meetings

  • Assist and support the running of the office, which includes ordering pantry supplies and stationery; making postal arrangements; coordinating office maintenance; coordinating renewal or cancellation of office services

  • Retrieve and integrate raw data requests by other offices within the group

  • Administer and reconcile the office access cards; maintain the phone directory; inform IDD service providers of new additions or removal of phone numbers

  • Admin support for Beijing interns (daily schedules, payment process, school liaison).


Marketing and Business Support

  • Support the sales and marketing requirements of the Beijing General Manager and other local staff
  • Work together with marketing to support the successful and smooth hosting of large and small conferences and local events in Beijing; coordinate local event registrations, liaising with venues, printing of marketing materials, arranging logistics for deliveries and collecting marketing materials.

  • Updating administrative and CRM records upon requests.

  • Supporting account management with logistics, contract formatting, and editing of marketing materials

  • Supporting account management team with translation of marketing material

Travel

  • Organise air tickets, hotel reservations, visa applications (if necessary) and other logistics arrangements for Beijing office staff and visiting staff

Operational Support

  • Provide support to regular upload credit card transactions into the system for expense reports preparation

  • Provide support for the preparation of purchase orders and requisitions for subcontractor services

  • Provide support to senior management on tracking and submitting expense reports


Knowledge and experience

Essential

  • Experience in reception work, office management and maintenance, travel arrangements and sales and marketing coordination

  • Proficient PC skills

Preferred

  • Worked in multinational environment
