职位描述

FabFitFun is a fast-growing and innovative lifestyle subscription brand seeking a Administrator for the operations in China/ Asia. This person will administer all HR, Legal and travel requirements. This person will interface with local and USA Sourcing and Quality, HR and Legal teams and act as our expert in country for HR process and procedure, legal paperwork administration and all travel related matter, including coordination of financial matters with regards to cashier, invoicing and expenses. This position will report to the General Manager China and HR/ Legal USA.

·         Provides administrative support to staff in China for all travel related matters such as airline bookings, hotel bookings, review of expense claims and preparation of Chinese invoices

·         Administer the onboarding and offboarding of staff, and preparation of hardware, sitting position, name cards, coordinates training and induction with staff

·         Coordinates and pays all utility, rental, courier, etc payment to suppliers

·         Administers the relationship with 3rd party payroll, insurance management company and also 3rd party finance management company by providing accurate information and documentation.

·         Administer the Chinese company stamps by obtaining approvals, and keeping a master record of the usage

·         Coordinates on HR benefits such as employee outing, annual dinner, pantry, gifts to employees. Manages all annual leave, sick leave, hospitalization. Informs global teams of bank holidays in China/ Asia.

·         Coordinates and manages employee grievances in consultation with General Manager and HR USA

·         Arranges all travel visa requirements for incoming and outgoing staff including preparation of invitation letters, obtaining visa requirements and advising of further documentation needed

·         Arranges domestic travel and advises visitors of hotel bookings, domestic train and airtickets

·         Pre screen jobs applicants prior to forwarding to Managers

·         Administers the pantry for snacks, coffee, water

·         Arranges specific trainings for staff

·         Ensuring that employee data is updated on HRIS, coordinates performance appraisals submission, confirmation of service of staff, and administers changes in job description

·         Prepares job descriptions, in consultants with General Manager and USA team

·         Assist global HR and General Manager to coordinate the release of HR global programes

·         Externally, this role will need to interact with service providers/ vendors of legal, finance, site, etc through on-site meetings  

·         Working with Legal team to coordinate specific issues and translations

·         Internally, this role will be the expert in HR and administrative matters

·         Working with 3rd party for translations and certifications of documents, working with legal for contracts administration and signing

·         Candidate will know basic China HR and payroll requirements

·         Support in the hiring of candidates by coordinating CVs, arranging interviews.

·         Arranging for parcel shipments and receipts of samples, paying of import taxes and courier services fees

 

Key Qualifications: For consideration, you must bring the following minimum skills and behaviors to our team:

·         Bachelors Degree in Finance/HR, or Arts or English, or similar discipline, from an accredited institution.

·         5+ years of administrative role and HR/Legal/Finance experience in a med-high to high volume production facility and product development environment.

·         High level of experience with USA team members and Chinese National fluent in English, preferred.

·         Proven business negotiations.

·         Established relationships working with service providers

·         Candidate will need to be a self-starter and self-motivated. Excellent verbal and written communication skills.
