职位描述
Duties and Responsibilities:
·Effectively manage and prioritize CEO's time, calendar and deliverables
·Responsible for managing multiple individual calendars, heavy scheduling
·Schedule, plan, and coordinate events and meetings onsite and offsite, including research and preparation of meeting materials
·Coordinates meeting logistics including location and rates. Ensures meeting attendees have appropriate information including directions and maps. Prepares agendas, may track action items and communicate status
·Support CEO as key liaison for strategic relationship management and communications regarding meetings, conference calls, invitations, and interviews
·Ensure urgent and priority correspondence and matters are communicated in a timely and effective manner to the CEO
·Promote the corporate image by professionally representing the CEO and Trealth Co. internally & externally
·Make business travel arrangements and manage and communicate travel itineraries. May manage travel accounts including mileage cards. Schedules and change itineraries. May research and obtain travel visas
·Develop and maintain positive working relationships with staff, internal departments and outside parties, including high-level contacts of a sensitive nature
·Manages information flow within and outside of division or business unit. May serve as liaison between corporate office(s) by disseminating key communication pieces and distributing materials
·Maintain confidential material related to employees and company operations. May coordinate new hire processing
·May manage executive's email accounts, including monitoring email and responding on behalf of executive when appropriate. Prioritizes emails for follow up by executive. May direct emails to other parties for response
·May maintain email aliases, distribution lists and shared directories, including maintaining permissions. Manages information by organizing and tracking on databases to synthesize and generate reports
·Draft letters, memos and emails. Responsible for general office administration tasks such as filing, copying, collating/stapling, etc. May coordinate space planning for division or business unit
o Create presentations and maintains organization charts:
o Responses to Request for Proposals
o Marketing Brochures
o Proposals and pricing documents
o Proof of Concepts
o Cost Benefit Analysis
o Contractual Agreements
o PowerPoint and Client Presentations
·Knowledge of Google Docs
·Contribute to ongoing process and workflow improvement; i.e. creation and maintenance of templates, workflow models and tracking systems.
Skills/Qualifications:
·Minimum 3 years administrative/executive support position in corporate setting
·Bachelor degree, or equivalent experience
·Thorough knowledge of administrative practices and procedures
·Indepth knowledge of company protocol and business issues/needs and the ability to work within a fast paced organization
·Thorough knowledge of office management practices and procedures
·Proven ability to work at an Executive level to assess business priorities and make recommendations Excellent communications and interpersonal skills
·Proven and successful team player and team building skills
·In-depth knowledge and proficiency of MS Office, including Outlook, Excel, Word and PowerPoint
·Proven ability to manage small projects, work under pressure and consistently make deadlines
·Able to handle sensitive information with a high degree of confidentiality
·Outstanding written communication skills
·Requires flexibility, negotiation, determination and ability to stand up to strong personalities
· Able to work non-standard, flexible work hours as needed
Location:
Position is located at 3261 Dongfang Road, Pudong New District, Shanghai.
