职位描述

Job Responsibilities:

  • Implement variety of administrative assignments for GC GM & VP, such as scheduling meeting (keep business calendar updated, ensure efficient and accurate time allocation), business travels arrangements etc..
  • Organize business events and project activities with related stakeholders and monitor the progress and quality.
  • Participate relevant meetings/events as required. Record, transcribe and distribute minutes of meetings as needed; proactively follow up actions and tasks assigned in those meetings.
  • Gather, compile, verify, and analyze information for GM to use in documents such as memos, letters, reports, speeches, presentations, and news releases.
  • Set-up processes and cascade process information throughout the team on behalf of the managing executives.
  • Prepare and compile business related reports periodically, assist to conduct relevant analysis to monitor key events and business results as per GM request.
  • Collaboratively and effectively organize and facilitate routine events, such as Board Meeting, China leadership meetings, business reviews, client visits, etc.
  • Provide comprehensive assistance to China GMO and Senior executives who visited China.  Facilitate smooth communications between the executive and other executives, managers, and employees.
  • Maintain all files for executives and ensure materials accessible and immediate usage as required.
  • Take office administrative roles, manage office supplies for smooth daily operation; implement and Audit 5S program and promote UL CBS in the office.
  • Lead and train admin staff in the performance of assigned duties.
  • Read client and/or interdepartmental correspondence and forward to appropriate audience as requested
  • Performs other tasks as may be assigned from time to time.

Qualifications:

  • Bachelor's degree in business would be preferred but not required
  • Working in a multinational company or related matrixed environment is highly preferred
  • 8+ years working experience with minimum 2-3 years relevant working experience as an assistant to senior executive
  • Excellent in both Mandarin and English (written and oral)
  • Must have excellent interpersonal and communication skills
  • Must have very good attention to detail with high quality and efficiency
  • Customer centered service spirit, reliable and accountable for daily management
  • Self-motivated to improve the processes where they can
  • A team player with the ability to adapt to various cultures that this person will interact with
  • Mature, pleasant and dedicated
  • Skillful with Computer, Microsoft office, especially Excel, PowerPoint, etc.
