Job Profile

  

 

  

Job Title: General Manager Assistant/Administrative Specialist

  

Responsibilities: (Activities done by this role)

  

 

  

1. General Manager assistant:

  

   - Support general manager on daily agenda, meeting schedule.

  

   - Support GM travel arrangement and travel support

  

   - Travel and all expense claim

  

   - Dalian website management and newsletter publisher.

  

   - Company car management

  

   - Public relationship coordination

  

   - Dalian site event management and support

  

   - All relevant work which may support GM for fulfill the daily operation

  

   - Urgent contact point during any contingency situation.

  

 

  

2.Office administration

  

   - As a shopper, create shopping cart via SRM to purchase office supplies, stationery, business card, water, etc 

  

   - Above items related invoice management, scanning, payment follow up, etc

  

   - Yearly PO creation and expense forecast for administration-related activities

  

   - Management of local service vendors and contract such as hotel, travel agency, flower, etc

  

   - Office equipment/furniture management, maintenance, ensure them in a good condition, take proactive action to service vendors if necessary for maintenance.  

  

  - Supplies and stock management of printing paper, water, coffee, etc

  

  - Foreign affairs such as passport, visa, invitation letter, work permit for employees or visitors

  

- Fire / Electricity / Safety management

  

- Management of employee activities such as new year party, outing, employee birth party, etc

  

- Employee’s check out list

  

- Continuously seek for improvement opportunities for Admin / Reception-related processes

  

- Others

  

  • Support site manager as requested.

  • Offer support to operation team such as coordinating, temporary support, etc

     

    3. Reception / travel support

    - Answer and transfer the incoming phone calls

    - Customer / Visitor reception, lunch box arrangement or restaurant booking

    - Arrangement for visitors such as pick up, hotel /air ticket reservation, etc

    - Daily postage / courier service and distribution of the letters / parcels, recording keep, etc

    - Office access card management & record keeping

    - Daily conference room arrangement and management

    - Others

  • Activities might change with time going and reorganization 

     

     

           Knowledge, skill and experience requirements  

  1. College or university degree
  2. 3+ years of working experiences in similar role as administration, reception, sales support
  3. Fluent in Chinese and English, Korean or Japanese is plus
  4. Proficient and good at using Microsoft office such as excel, word, ppt, etc
  5. Bright character, good communication skills, with passion for work, eager to learn
  6. Good team player, willing to cooperate, detailed oriented and self-discipline
