职位描述
Position: Executive Assistant/Administrative Assistant
Main Responsibilities:
1. Office phone exchange operator
- Answer incoming phone calls courteously and professionally.
- Properly filter unwelcome calls for other personnel.
- Transfer incoming calls to appropriate personnel.
2. Visitor receptionist
- Receive and direct visitors mannerly.
- Maintain visitors' registration record.
3. Office mail management
- Liaise with local & overseas courier companies.
- Receive and distribute mail, parcels and samples.
4. Administration assistant and coordinator
- Responsible for managing meeting room reservation and arranging meeting equipment
- Keep the reception area clean and organized.
- Update the whole company phone list regularly.
- Arrange for business card printing.
- Order, distribution and statistics of the office supplies and daily supplies.
- Contact with the external supplier for equipment maintenance and green plant in good condition (including the express, travel, plant, mineral water, translation, visa service vendors, etc.)
- Travel arrangement, such as hotel reservation, flight booking, invitation letter issuing, visa support and vehicle pick-up arrangement for guests other staff and company's visitors per company policy.
- Issue and renew certificates for foreign colleagues in Azelis Shanghai: China Work Permit, Residence Permit, etc.
5. Various admin payment preparation and monthly payment statistic by Department
- Create vendor account
- Submit and release by Finance & IT department
- Issue purchase order in system
- Submit hardcopy payment and scan invoice to Finance department
6. Monthly expense report Issue for China Managing Director
7. Any other task assigned by manager and China Managing Director

- 过滤垃圾营销来电
- 根据来电者需求,转接电话给相关同事
- 礼貌接待和引导来访客人
- 做好访客的登记记录
- 保持与当地和海外快递公司的联系
- 接收和分发收到的文件、包裹和样品
- 会议室预订
- 保持办公室接待区域整洁卫生
- 定期更新员工通讯录
- 安排名片印刷
- 办公用品和日常用品的预订、分发和统计
- 与外部供应商保持良好的关系(包括快递、差旅、花草、饮用水、翻译、签证服务商等)
- 差旅管理:为客人提供酒店预订、机票预订、邀请信出具、签证办理和安排车辆接送机等服务
- 外籍同事各类证件办理和延期:就业证、居留许可等
- 创建供应商
- 提交并由财务和IT部门释放
- 处理新建PO
- 提交纸质付款申请并扫描发票给财务部门
学历及任职要求 Education & Requirements:
1. 大学本科以上学历
2. 熟练使用Excel, Powerpoint, Word等基础办公软件(vlookup, sumif等函数应用)
3. 英语读写良好,口语沟通流利
4. 思维逻辑清晰,沟通能力优异,有较强团队合作意识
5. 主动性强,认真细致,工作有责任心
6. 行政人事等相关工作经验者优先
