Job Summary

The incumbent will be the local point of contact for all sampling requirements and activities in China. The incumbent is responsible to ensure compliance and timely processing of all sample requests (both for Commercial and DMF). The incumbent will also manage and maintain both the samples inventories held at the Commercial office and Qing Pu plant.

Essential Duties & Responsibilities

• Manage the China sample request process of West products to ensure compliance and timely dispatch of marketing samples to customers. Duties may include but is not limited to:
• Organize and coordinate routine sample requests
• Verify and ensure requests raised in CRM system are filled correctly and supporting documents provided
• Timely fulfilment of sample requests
• Maintain record of sample dispatch details
• Manage and maintain records of samples inventories stored in China commercial office and Qingpu plant. Re-stock inventories with relevant plants as necessary.
• Prepare monthly samples dispatch report
• Manage and ensure timely delivery of DMF samples:
• Coordinate timely and accurate dispatching of DMF samples to the relevant stakeholders
• Maintain records of DMF samples inventory list (check in/ check out record)
• Prepare and send monthly report to relevant stakeholders on DMF samples dispatched
• Support all local promotional activities and materials (e.g. exhibitions, promotional samples, brochures etc.)
• In collaboration with Customer Success (Order Management) and Warehouse teams, coordinate logistics arrangements for all sample requests (Commercial and DMF) – receiving, retrieving, repacking, dispatch (courier) and tracking of shipment and/or dispatch statuses in a timely manner
• Other relevant business-related duties as assigned by Manager

Education and Experience

• Bachelor’s Degree in a related discipline
• Min. 3-5 years of work experience in order processing / logistics coordination / sales administration
• Prior experience in samples delivery and / or administration would be highly advantageous

• Meticulous and organized
• Competency in both English and Chinese languages with good verbal and written communication skills
• Proficient in MS office applications – Outlook, Excel, PPT
• Strong customer-oriented mindset
• Team player who can perform work independently with strong follow up skills

Physical and Travel Requirements

• Physically fit to lift 1 standard sized sample carton
• Ability to travel domestically between Commercial office and plant frequently – 20 - 30%

In 1983, West established operations in Singapore in the Asia Pacific region. In 2009, an injection molding facility opened in Shanghai Qingpu Industrial Zone in China.
