职位描述
The range of duties includes, but is not limited to:
Reception Tasks
Switchboard handling /divert all calls internally and internationally
Reception of visitors
Issuing visitor pass
Ensuring details are completed correctly
Ensuring the log is maintained and filed accordingly for audit purposes
Calls management
Meeting rooms booking / catering / keeping meeting room in an orderly manner
Taxi / airport transfers
Badge coordination
Programming of permanent badges
Management of visitors' badges
Management of parking badges /ID's
Management of visitors' presence on site
Employee new starter, leave and termination procedure and update of file/log
Mail/Postal service management
Mail arrival
Mail departure
Logging parcels/letters and emailing employees to collect it
Courier UPS …. coordination, support and shipments
Assist administrators and management on site
Dealing with general enquires from employees and passing on to the relevant department
Business cards order
Loaner Laptop handling
Security contact person, liaising with security to ensure building is checked and safe
H&S / Cardinus / fire / evacuation / reporting of incidents / Assist with DSE assessment, management of the office / country, etc
Follow-up of breakdowns, incidents and issues with vendors, Contact for landlord, Real estate concerning growth, moves of office, Contact for Cleanliness & Maintenance of the PRA area, Contact with management of the office / country
Printer Management
Requisitions and Purchase Order – creation for all facilities orders
Invoice handling for Facilities
Assisting support departments not available on site/in country with approval of RFM
Petty cash / bank contact
Follow-up of contracted regular services on site
Inventories record keeping (consumables, archives…)
Stationary handling and Orders (consumables, small furniture, small equipment…)
Any other administrative assistance (filing system maintaining and updating, meetings scheduling and arrangements, reports layout, records keeping on tasks, policies writing and/or updating, Facilities manual, invoices …)
Requirement
- Good communication and active attitude
- English is required
- Minimum 1 - 2 years of experience in a facility, office or higher standard hotel environment/ management
