职位描述
Key Responsibilities / Accountabilities:
Provide high level administration support to the Head of the China team
Provide support to the team in the following areas:
Diary management and travel arrangements
Deal with foreign currency and travelers cheques as required
Manage expense claims for the team
Assist in the organization of internal and external meetings, attend meetings as required, take minutes from meetings and issue summaries
Events coordination including arranging for video-conferences with Singapore office and organizing timetable for in-house programs
Prepare presentation materials
Manage the negotiation of contracts for services, systems, equipment and stationary supplies within agreed budgets
Arrange payment to suppliers, dealing with invoices promptly
Handle relationships and communicate clearly and professionally with third parties: local government offices / agencies, regulatory authorities, Singapore office teams etc.
Contribution to implementation of business plan goals and objectives
Suggest improvements to office processes, document procedures and promote recording of key tasks to ensure maintenance of service in all circumstances
Ensure any pertinent team information is updated in company databases or communicated to Singapore office and encourage others in the team to do the same
Deal with any internal or external queries / problems promptly and efficiently
Undertake project tasks as delegated from the Head of China
Observe and demonstrate compliance with company procedures and rules of the relevant regulatory bodies on a personal basis and encourage others in the team to do the same.
Qualifications and Experience:
preferably a graduate
Experience of a wide variety of office administration, preferably within the financial services industry
Previous experience of PA work at a senior executive level would be useful
Experience of diary management/event coordination
Experience of assuming responsibility for tasks form beginning to end.
Specific Skills / Knowledge:
Proven admin skills; diary management, drafting minutes, and general admin duties
Excellent communication and negotiation skills
Excellent technical skills with systems and packages such as Excel, PowerPoint and Word
Confident in communication in English as well as Mandarin
Personal Attributes:
Excellent interpersonal skills
Thorough, diligent and professional – good attention to detail
Highly motivated and enthusiastic about providing an excellent service to colleagues and clients
A ‘people person’ with a strong work ethic
