职位描述

Position: Office Manager

Reports to: General Manager

Purpose: To ensure the smooth functioning of the company's facilities on a day-to-day basis and manage a team of administrative and support staff.


Areas of Responsibility

HR

  1. Recruitment
  2. Compensation and Benefits
  3. Training and Development
  4. Employee Relations
  5. Employee administration

Administration

  1. Maintaining Headquarters, and office supplies (tea & coffee, stationary, etc.)
  2. Handling incoming and outgoing mail and deliveries
  3. Purchasing and ordering printed materials
  4. Maintaining company equipment, e.g. PCs, telephones, air purifier, printer
  5. Setting up user profiles on PCs/Laptops/Tablets
  6. Maintaining and updating software subscriptions and accounts

Course Administration

  1. Arranging and optimizing schedules
  2. Communicating with clients and staff

Facilities management

  1. Maintaining fixtures and fittings
  1. Maintaining and refilling stock, equipment and stationery
  2. Liaising with 3rd parties for facility specific issues e.g. Building Management
  3. Inventory Control
  1. Tracking equipment and materials
  2. Ensuring there is enough equipment at facilities and events

Team Leadership

  1. Recruitment, Training and ongoing Supervision
  2. Making plans and setting priorities
  3. Creating and updating SOPs


Main Objectives

  1. To maintain a happy, healthy, qualified and motivated team to achieve our company's goals and mission
  2. To ensure all facilities are always adequately stocked and presentable and meet the needs of the organisation and its employees
  3. To ensure there is always sufficient and well-maintained equipment at all facilities and events
  4. To handle the company's administration effectively and efficiently to support other functions and ensure smooth operations
  5. To maintain office equipment including computers, by updating profiles and installing software for users
  6. To design and implement office policies by establishing standards and procedures
  7. To recruit, train and develop a team of administrative support staff, and take on additional responsibilities for course administration


Candidate Profile

The successful candidate will have proven experience as an office manager or senior executive with a background in HR and/or Administration and experience of training and developing new staff. They will be a stable, charismatic leader, committed to personal and professional development, with the ability to resolve conflicts and make things happen.
