职位描述
Position: Office Manager
Reports to: General Manager
Purpose: To ensure the smooth functioning of the company's facilities on a day-to-day basis and manage a team of administrative and support staff.

Administration
- Maintaining Headquarters, and office supplies (tea & coffee, stationary, etc.)
- Handling incoming and outgoing mail and deliveries
- Purchasing and ordering printed materials
- Maintaining company equipment, e.g. PCs, telephones, air purifier, printer
- Setting up user profiles on PCs/Laptops/Tablets
- Maintaining and updating software subscriptions and accounts
Course Administration
- Arranging and optimizing schedules
- Communicating with clients and staff
Facilities management
- Maintaining fixtures and fittings
- Maintaining and refilling stock, equipment and stationery
- Liaising with 3rd parties for facility specific issues e.g. Building Management
- Inventory Control
- Tracking equipment and materials
- Ensuring there is enough equipment at facilities and events
Team Leadership
- Recruitment, Training and ongoing Supervision
- Making plans and setting priorities
- Creating and updating SOPs
Main Objectives
- To maintain a happy, healthy, qualified and motivated team to achieve our company's goals and mission
- To ensure all facilities are always adequately stocked and presentable and meet the needs of the organisation and its employees
- To ensure there is always sufficient and well-maintained equipment at all facilities and events
- To handle the company's administration effectively and efficiently to support other functions and ensure smooth operations
- To maintain office equipment including computers, by updating profiles and installing software for users
- To design and implement office policies by establishing standards and procedures
- To recruit, train and develop a team of administrative support staff, and take on additional responsibilities for course administration
Candidate Profile
The successful candidate will have proven experience as an office manager or senior executive with a background in HR and/or Administration and experience of training and developing new staff. They will be a stable, charismatic leader, committed to personal and professional development, with the ability to resolve conflicts and make things happen.
