Job purpose:

- Coordinate and ensure the FM process via EMS (Efficient Management System)  with general FM Helpdesk functionality and initial Risk monitoring.

Key responsibilities & accountabilities :

- Single point of contact for all FM service requests. 

- Initiate and coordinate the administrative process to ensure the service requests will be solved properly and prompt 

- Thorough technical evaluation of incoming service requests and assignment to relevant parties.

- Obtaining of relevant information as needed.

- Initiation of approval process of requests.

- Treatment of emergency requests with first priority.

- Monitor and track progress of all repair and maintenance issues through to completion.

- Monitor and track the costs within the scope of CAPEX/OPEX budget.

- Ensure a continuous cost reduction by evaluating the requests and deciding about the most efficient solution. - Support FM hardcourt team for data collection due to request.

 - Interaction with internal as well as external vendors and other contractual partners to ensure an efficient and prompt service.

- Support involved parties regarding the handling of the FM Helpdesk system by providing the required information. - Develop and demonstrate an understanding of clients and business needs. 

- Accomplishment of service request realisation.

- Preparation of all required documents. 

Skills & Experience :

- Deep knowledge of the business processes and the local organisation.

- Fully conversant with general office computer software.

- General basic knowledge of Facility Management.

- Excellent communication skills.

- High degree of self-discipline and pro-activeness.

- Good social skills and comfortable in dealing with various parties.

- Excellent coordination and time management skills.

- Fluency in Chinese and English. Experience:

- Minimum 3 years of working experience in a commercial organization with solid experience in general helpdesk function and technical understanding
