Position Title: Event Manager, OSCC

Location: Shanghai, China

Reports to: Senior Event Manager

Subordinate: Designers*6, Coordinators*2

Department Interaction: (Parts/Projects involved with) Business Development and Finance Controller

Travel Requirements: (Describe by percentage) Yes, 30%~40% travel

Effective Date: ASAP


Primary Purpose:

In charge of Event Management, Event Concept Design, Artwork Design, Multimedia Design, AV Technology, Production, Budget Control,Clients Management, Event Onsite Execution.


Responsibilities:

The Event Manager, in collaboration with other OSCC team members, will develop, and maintain a professional rapport with existing clients, and other key suppliers, and stakeholders in all market segments.


The Event Manager is responsible for the Event Concept Design, Artwork Design, Multimedia Design, AV Technology, Production, Budget Control,Clients Management, Event Onsite Execution and where applicable, include personal and/or joint presentations to, and proactive follow-up with customers in accordance with all stated time frames.


The Event Manager is responsible for the professional implementation and management of each event for which he/she is responsible including post event evaluation, and timely budget reconciliation and customer billing.

The Event Manager will work cooperatively with other OSCC team members with respect to receiving/processing sales leads, relaying customer briefings, and in the provision of customer feedback, market intelligence, and other relevant information.


Duties of Position: Duties of Position:

1. Office/Staff Management

·Maintain current, orderly and accurate customer event files (hard copy and electronic), including allocation of event numbers and required event information for inclusion in the master event schedule.

·Maintain a healthy and professional working environment with all members of the OSCCteam and in particular other Event Managers and Coordinators.

·To lead by example and provide staff with opportunities for professional growth and advancement.


2. Event Management

·Develop and produce innovative, profitable event concepts, budget and proposals in accordance with client briefs.

·In every instance ensure event budgets conform to agreed minimum profit margins, and wherever possible increase the margin to maximize the return to the company.

·Present event concept proposals and budgets to customers within an agreed time frame, and negotiate final event design and revised budget position, including agreement on the payment schedule.

·Assist in the identification of preferred suppliers and oversee supplier briefings for the individual design elements, and quoting process to ensure event outcomes can be delivered as planned.

·Ensure that accurate Terms and Conditions together with relevant invoice/s are raised, dispatched and returned in accordance with the payment schedule.

·Manage the on-site client relationship during the implementation and running of each event, including agreement on any variations that occur during the event.

·Oversee the event implementation and management of each event including any variations.

·Ensure the timely and accurate reconciliation of supplier accounts, and generation and despatch of final customer invoice and feedback form.


3. Sales Planning, Activity and Management

·Identify, categorize, and prioritize new organizations into primary and secondary markets within the corporate, conference and incentive markets in Shanghai, Beijing and Macau

·In consultation with the General Manager Greater China, identify existing customers that will require servicing by the OSCC office.

·Provision of weekly written contact and activity reports on sales activity to the General Manager Greater China in the Shanghai office.


Requirements:

1. At least 2 to 3 years event manager experience.

2. Fluent in English and Chinese, very good at writing skill.

3. Can work at flexible working hours during event production.

4. Very organized, have creative idea, and good at number for making proposal.

5. Outgoing, passionate at event work.
