PRIMARY RESPONSIBILITIES:

• Update or establish admin policies as needed, such as clean desk policy, company vehicle and driver policy, office 5S/clean desk policy, mobile phone/sim card usage policy, etc.

• Ensure a secured and professional work environment

• Assure office services are provided timely and adequately

• Direct and manage administrative employees or in-house facility staff and assure quality service is provided on such critical functions as reception, telephone, mail distribution, name card print, airfare payment, office cleaning and other common office services

• Assure administrative work is assigned to appropriate personnel and conduct periodical reviews

• Responsible for Staff Canteen, Shuttle bus, company car rental, gasoline cards’ top up(monthly) and drivers administration and management (including contract renewal, E request, receiving goods and payment request)

• Work with Driver supervisor for Drivers’ expenses reimbursement’s review, audit and approval

• Maintain office supply record, and order and control of office supplies: Printing stationery (name card/letterheads/envelops)/Pantry supplies/Stationary/Drinking water

• Responsible for Purchase Orders and budget control for office administration related requests, such as, furniture procurement, shuttle bus, office equipment service, meal, drinking water, etc

• Responsible for issuing invitation letters for visitors to China in coordination with outside government agencies and arrange necessary paperwork for China employees to apply for visas for international travel

• Responsible for phone directory update on a monthly basis

• Work with HR or business line for company events, such as annual party, family day, outing, meeting/workshop, etc.

• Provide other admin support as requested
