Lingmed Ltd promotes healthcare intelligence database products in China market and also imports niche medical products / devices to China market to meet China market’s unmet medical needs.
With the business growth, the company is continuously looking for talents and now looking for one Office manager (accounting, admin and sales/marketing coordinator)

Job Purpose:
The role is to support the CEO and sales team to reach the company sales and marketing targets; responsible for the company accounting and admin area to set up the process.
It is a unique opportunity to work at a fast paced growing start up with high profile talents.

Key responsibilities and accountabilities:
Accounting
- Track office cash flow
- Work with 3rd party vendor to ensure timely tax report monthly
- Good weekly and monthly office accounting reports
- Follow up sales contract to invoice and collect payments timely
- Take care of Lingmed office bank accounts and develop good weekly and monthly financial reports
Admin
- Manage office daily operation
- IT and other office equipment purchasing
- Travel arrangements
- Make training plans
- Develop a good annual performance review tool
- Develop company employee guidelines
- Set up process for all HR and admin related topics
Sales / marketing support area
- Represent company properly when participate at marketing conference
- Sales coordinate on sending out solicitation emails and meeting set up for sales to visit potential clients
- Set up WebEx and conf call, send out reminder to clients before sales meetings
- Prepare for commercial team meeting
- Take notes during the commercial team meeting and send out the meeting minutes/to-do list. Send timely reminders to the team to collect updates from each person
- Set up internal meetings, send calendar invitations to participants and book rooms accordingly when needed
- Ensure all documents / contracts are properly scanned and filed properly
- Follow up on sales contracts to ensure timely signed/chopped and sent when needed
- Add database trial users at sales request and send welcome emails to follow up
- Contract and invoice follow up: Answer and follow up on calls to confirm meetings or to track the status on contracts/procurement, Support payment process by providing documents or communicating with client’s finance department
- Ensure all new sales person IT related issues are timely resolved
- Train new sales team members on how to use Salesforce effectively, new on board sales process training for sales team
- Flexibility in learning to work with new product areas and addressing diverse pharmaceutical client needs such as new product launch, product licensing, sales operations optimization etc.
- Good weekly and monthly reports
- Provide high quality client trainings when required
- Timely answer client service tickets
- Able to interact professionally with clients
Requirements:
- Analytical Skill – good at data analysis and able to identify issues and opportunities through data
- Good problem solving capability
- Good accounting knowledge with some experience preferred
- Detailed oriented
- Highly Self-motivated and a hard worker
- Healthcare industry knowledge
- Good listening skills, Good team player and Good communication skills
- Willing to learn new topics and a good thinker
- Willing to take challenges
- Excellent spoken and written English
- Results-oriented
- Pleasant personality with self-confidence, open minded and easy to interact with individuals with different cultural backgrounds
- Good cold call skills would be a plus
