职位描述
REPORT TO: CENTER MANAGER
MAIN DUTIES
1. Ensuring that all phones are answered according to the OASIS script and within three rings.
2. Greeting all clients in a professional manner with a smile and offering tea or coffee as applicable.
3. Taking messages for clients as they require: straight onto their phones, via voicemail or written. For messages put onto the message centre or handwritten ensuring a record of messages is kept and a billing slip completed each day.
4. Ensuring all records are updated when necessary and that new info is updated as soon as details of a new VO or Office client are received. Ensuring all relevant forms are set up for new clients and for all clients on your floor the fax account code is programmed for sending faxes out of hours, and the fax is programmed with client name. The original of all forms to be kept in a separate client file folder.
5. Responsibility for send out/printing off list of overnight faxes and ensuring they are billed. Responsibility for sending client faxes during the day ensuring these are always sent with the client name printed on top of the fax – not OASIS, keeping all fax records and notifying clients as soon as a fax is received.
6. Keeping stock of OASIS profiles at reception and presenting your station during sales tours.
7. Ensuring reception is aware of clients’ movements for each day and any instructions throughout the day are communicated to other team members.
8. Ordering couriers and taxis for your floor ensuring that the client’s company name is given as reference and key in Officewyze.
9. Informing the GM/Centre Manager of any problems immediately.
10. Ensuring any complaints or compliments are keyed in officewyze or passed to the Centre Manager of General Manager. Additionally ensuring the GM/CM is immediately made aware of any problems and that these are dealt with as soon as possible.
11. Taking bookings for the meeting room and visiting, walk-in clients on Officewyze.
12. Ordering all stationery on behalf of clients and the centre and liaising with clients and the stationery supplier to ensure timely delivery. Ensuring key in Officewzye with accurate information.
13. Overflow typing requirements.
14. Ensuring all clients receive an exceptional standard of service at all times.
15. Undertaking fire warden and possible first aider duties.
16. Ensuring reception is kept tidy at all times and that all lists and forms are kept in an order that can easily be followed by other team members who may be covering your reception. Ensuring anyone covering your reception receives a proper handover.
17. Helping out in any other area of the business centre and covering on all other receptions as and when required.
18. Closing of Boardroom, Courier, Incoming/Outgoing Fax Account on every 20th of the month and pass to GM/CM.
19. Checking of ladies toilet accessories supplies like soap, handcream, flowers and ensure that arrangements are made to have them replenished regularly. In this case, “Ayi” may be deployed to assist but under your close supervision please.

5)准备并发送各类通告给客户
6)客户信息的及时更新和维护
7)跟进客户及中心的各类维修工作,督促维修部门按时处理各类报修以保证中心的良好状态
8)接受并处理客户的投诉
9)准备客户的生日礼物和协助各类客户活动
10)监督清洁部阿姨的工作
11)其他可能需要的工作安排
