Position Title: Student Activities Assistant (到岗时间:2019年7月)
Division: All School
Supervisor: Director of Student Activities
Position Summary: The Student Activities Assistant acts as a liaison between the faculty and the functional departments (Operations, Marketing, HR, IT etc.) to guide and oversee the relevant logistics happening smoothly following the school procedure and policy in the Activities Department.
Qualifications:

- College degree in Event planning or English related

- Shanghai Hu Kou Permit
Experience
[Required]
- Two years minimum experience in a foreign company office setting.
- One year minimum experience with activities/event organizing and planning.
[Desired]
- Previous experience in an international school with American educational system.
Skills

- Fluent in both Chinese and English with solid communication skills in both languages
- Excellent organizational and multi-task management skills
- Excellent skills for attention to detail
- Effective interpersonal skills
- Solid with Microsoft Office, other CRM systems, online surveys

Duties and Responsibilities:
- Mainly support the following student activities/events:
- CISSMUN
- GIN
- NHD
- Intellectual hub speakers
- Visiting speakers for professional develop
- Chinese New Year Celebration
- Any other events that the Student Activities Department is responsible for.
2. Train the faculty/department/division who wants to put together an activity/event to understand the relevant procedure and policy as well as provide clarification.
3. Support the activity/event requested faculty/department/division by:
Make sure the Activity/Event Request Form is completed and received.
Meet with them to go through logistics arrangement and budget planning.
Communicate logistic arrangement with functional departments like Operations, Marketing, HR, IT and other departments regarding flights, accommodation, setups, transportation, food, visas, gift and advertising etc.
Ensure the logistics are implement in an effective manner.
Act as the first contact for logistics if emergency happens.
4. Record and maintain the relevant activity/event calendar annually based on activities/events this role support in conjunction with the Director of Student Activities.
5. Maintain activity management database, suggesting customizations when appropriate.
6. Work with Director of Student Activities to provide feedback in terms of approve or deny additional activity/event request as they are submitted following school policy in conjunction with the Executive Council.
7. Develop and manage relationships with local vendors and venues as needed.
8. Other duties as assigned by the Director of Student Activities.
