Supervisor: Senior Facility and Operations Manager
KEY RESPONSIBILITIES:
- Supervises bus services and general administration.
- Plan, organise and manage the outsourced bus team to ensure that the work is accomplished in a manner consistent with the College’s requirements.
- Serve as contact persons for all transportation related matters.
- Collaborate with other staff members in order to formulate and implement policies, procedures, goals and objectives
- Monitor operations of the transportation to ensure that staff members comply with administrative policies and procedures, safety rules and government regulations.
- Promote safe work activities by conducting safety audits, attending safety meetings and meeting with team
- Support with investigation to determine causes of transportation accidents and ensure safety procedures are improved.
- Analyse expenditures and other financial information in order to develop plans, policies and budgets for improving transportation services.
- Conduct training sessions on subjects such as safety, bus registration system and College’s expectations
- Liaise with the Senior Facility and Operations Manager, Bursar and Headmaster and the wider team in an effective and efficient manner, keeping them abreast of on-going issues, work priorities and progress
- Organisation of transportation services
- Coordinate daily processes and procedures to meet address requests from staff, pupils and their parents
- Develop and monitor mechanisms for prioritising and managing transportation services requests pro-actively and in a timely, well-communicated manner
- Coordinate the Help Desk staff including management of work priorities, standards and roster
- Foster a culture of proactivity, responsiveness and service orientation
- Provide information, advice and assistance to key stakeholders
- Maintain high level communication across all non-academic functions within the setting ensuring the community is kept abreast of developments in the various departments and their impact on staff, pupils and parents. Manage the responsiveness of the team, prioritising and processing of walk-in, phone and ticket requests in a timely and efficient manner
- Document and maintain visibility of vendors meeting their SLA agreements
- Provide monthly reports as required e.g.: incidents, feedback, analysis etc.
14. Actively participate in any related training held by the College
JOB QUALIFICATIONS:
- Education: Bachelor’s degree, Project management or related subject
- Language: Fluent written and spoken English
- Working Experience: 3 - 6 years project management and customer service experience, ideally in a context that includes international staff
- Management Experience: Experience of management of teams is required
- Experience of working in an educational setting preferred
- A minimum of five years’ post qualification experience
- Fluency in English and Chinese
- Strong ability in project management
- Commitment to democratic governance and collaborative, data-based decision-making
- Rigorous approach to problem-solving
- Ability to deliver excellent service at all times
- The ability to prioritise workload and meet deadlines
- Excellent communication skills with a diverse range of people and interpersonal skills
