Providing secretarial and general administrative support to GCX APAC team
? Calendar Management
1) Update calendar to ensure daily work efficiency. Maintain master calendar for the whole year (seminars, VCs, offsite meetings, weekly meeting, 1*1 sync meeting, etc) and communicate with relevant parties;
2) Daily check the calendar and make sure everything go smoothly,can calm timely handing emergencies, completes information sharing and exchange;
3) Timely check head’s calendar and managed well, take record and learn how to book the calendar flexible in terms of different situation;
4) Coordinate the meeting booking including meeting room facilitate for APAC GCX team.
? Travel Management
1) Make adjustments for efficient time management. Handle all travel arrangements (visa, air tickets, hotel, transportation, etc). Support on hotel accommodation, flight ticket booking and transportation arrangement for internal colleagues and external visitors;1) Profile set up, collect all the information of GCX APAC leader team including passport & ID information, membership of hotel/airline, current VISA, future VISA should be applicate, etc);
2) APAC hotel information collection and profile set up, include price, star, location, major features, etc;
3) VISA profile include different criteria asked by different country which are the most popular visit such as Japan, US, SEA, etc ), any document should be have, VISA applicate process, etc;
4) Other very useful information (Travel policy, office address, hotel online booking tool, time zone, car rental, etc., )
? Executives SHA visits and Top Management activities
1) Schedule and prepare agendas for executive meetings. Coordinate group events, travel arrangements as well as event itineraries for all visitors. Prepare materials, set up meeting locations and organize refreshments/foods/drinks or catering for all events;
2) Take note and familiar with different culture to make sure the visitor adapt to different environment, understand the different habit and favorite of executives visitors and remind the meeting host to pay attention to;
3) Must be on duty and prepared everything which related to the meeting in advance during the period of visit and meeting;
- General office administration/management, completing a broad variety of administrative tasks with team as necessary.
? Maintain the greeting message which includes all useful information relating to office to each new comer on the first day of employment;
? Maintain DLs according to the up-to-date organization timely;
? Issuing invitations for visitors;
? Customs clearance;
? Corporate activities coordination, take charge of office Social Club, organizing and support on staff engagement;
? Maintaining an adequate inventory of office supplies;

? Office renovation coordination;
? Office capacity management & support;
