Job Description Summary:
Assists the VP of Bel Asia Pacific Zone by performing administrative duties with a high level of professionalism, efficiency, confidentiality and aligned to the Bel Values. Also, directly responsible for overall management of office facilities, vendors, equipment, and building management.
Essential duties and responsibilities
Administrative Assistant
Provides administrative support to the VP by managing all essential tasks that include but not limited to;
? Screen calls, drop-in visitors and manage messages
? Organize VP’s day to day calendar & overall schedule
? Proactively manages all logistics and agendas for VP meetings (Internal and External) to ensure efficient and effective use of time.
? Book and organize travel arrangements for VP
? Manages the Corporate travel systems and ensures compliance with policies for zone
? Coordinates internal and external meetings owned by VP or Executive Leadership Teams as appropriate.
? May assist in the annual budget preparation process by coordinating various pieces of information across all functions within specific deadlines
? Prepares business presentations such as Zone Executive Leader Team Meetings and employee town halls.
? Prepare internal and external communications on behalf of VP
? Manages special company events identified by the VP, such as Leadership meetings, annual conferences, and regular town hall meetings.
? Other special projects as assigned by manager
Office Manager
? Leads the office space coordination in regards to employee seating, office moves and office expansion projects.
? Acts as the liaison with the building property management on office suite issues, building events, etc.
? Serves on the Emergency Response Team.
? Liaisons with building facilities handle issues with office space, equipment and the maintenance (wall, windows, floors, furniture)
? Responsible for ensuring new employees have necessary office/cube space including office supplies, name plate, ID badge, etc.
? Manages and may serves as a back-up to the Receptionist / Office Coordinator
Qualifications and Competencies
1.) Minimum degree and experience required:
? Bachelor degree in business training preferred
? 5 to 7 years in an administrative position.
? Very structured and organized to manage multiple priorities and meet deadlines
? Must be able to efficiently and accurately information when discretion and confidentiality is required.
? Must be technically proficient and savvy, including expert skills in Microsoft Office
? Must work well with others and demonstrate professional and positive attitude
? Must be multi - task orientated and consistently demonstrate follow through
? Demonstrated ability to communicate effectively both verbally and in writing
? Able to adapt style of communication according to a diverse audience
