JD for PA to GM
1. Proactively assists in effective time and schedule management for GM.
2. Screens as needed telephone calls and messages that come through electronic media (texts, email) and arranges for response “callbacks” and subsequent meetings as appropriate. Maintains detailed calendar and tickler system.
3. Prepares outgoing mail, faxes and etc., maintains accurate chronological correspondence files for reference.
4. Respond to questions, requests and emails that are within own capacity and agreed parameters to handle. Drafts identified types of correspondence for GM review, comment and signature.
5. Assists with document production in support of day to day, management, strategy, and Board meetings or support of similar projects being managed by GM, as well as document preparation, translation, execution and delivery in connection with all or other corporate activities.
6. Helps to set up and manage templates and prepare PPT presentations and Excel spreadsheets for GM upon request.
7. Provides comprehensive management and support for all corporate/business travel arrangements.
8. Handle invoice payments and manage claim reimbursement, including process of travel expense claims for GM
9. Demonstrates ability to preserve strict confidentiality with respect to sensitive projects and matters.
10. Manage outsourcing vendors and make sure that the business requirements could be fulfilled as per contracts.
11. Assist to draft the itinerary for visitors coming from Italy HQ upon requests and provide interpretation service where necessary
12. Organize and coordinate meetings both with internal and external parties upon GM request
13. Keep company seals under custody, and make sure relevant application in compliance with company processes
14. Other adhoc tasks assigned by GM
Job Requirement:
1. Bachelor degree or above
2. Good knowledge of MS Office applications (Excel, Word, especially Power Point presentation);
3. Should be eager to learn, flexible, open-minded and team-work oriented;
4. Basic understanding of HR policies and practices would be a plus
5. Proficient verbal written, presentation and communication skills in English
6. Good analytical skills and ability to perform detail work, proven problem-solving abilities with challenging deadlines and priorities;
7. Good Knowledge and understanding of the goals of the Company, ability to anticipate change and react efficiently and expeditiously;
8. Excellent interpersonal skills, demonstrated ability exercising tact and diplomacy.
9. Self-motivated, ability to remain calm and focused under pressure and work within strict deadlines;
10. Maturity to handle multiple tasks and confidential issues / material as well as communicate effectively with others as appropriate.
11. Minimum of three years' Executive Assistant experience or equivalent.
