Position: Office Manager/Customer Service Manager
Job Requirement:
Import & export
- Place orders to Chinese suppliers in cooperation with Client Switzerland / Client USA
- Coordinate arrival of material with logistics partner
- Coordinate import of goods and customs clearance with logistic partner and Client Switzerland / USA
- Complete material entry in database with batch information, specification CoA data and classifications SAP material master file
- Obtain Certificate of origin from suppliers
- Coordinate export of goods with logistics partner and Client Switzerland / USA
Sales & Distribution
- Receiving customer orders by fax, e-mail, telephone
- Other direct contact to customers, represent Client contact for Chinese customers (issue handling, claims)
- Check orders / availability and subsequently generate order confirmation for customers
- Order processing in SAP system, following delivery incl. all needed shipping documents
- Coordinate material flow (picking in warehouse) with logistics
- Invoicing to customers incl. GTS
- Checking material inventory (sales/availability) coordination with local sales forecasts and General Manager China
- In cooperation with Switzerland and General Manager China, coordination of inventory (material stock, physical inventory)
Samples
- Responsible for service team's performance regarding sample dispatch
- Manage sample inventory (storage space / location) in coordination with Switzerland
General administration and support
- Lead admin team and make sure China office running smoothly
- CRM back up for sales men
- Support for local sales men
- Marketing (e.g. support in translation, dispatch documents, observe CI/CD rules) Interface to finance (external partner)
Reporting structure
-Reports into General Manager China
Key objectives
- Responsible for the whole sales and sample order processing, make sure everything procedure is precise and timely.
- Responsible for sample inventory management, make sure every physical inventory movement is according to SAP. Including material No., batch No, quantity and so on.
- Responsible for customer service of RCN, handle customer order, contract, complaint properly. Present good company image and top class service attitude.
- Proficiency in SAP for customer database and order processing.
- Know and manage import and export procedure.
- Responsible for daily office administration work.
- To be aware of the confidential nature of any of the work handled and not to pass on any information to any unauthorized person either inside or outside the Company.
- To perform any other duties as reasonable requested by General Manager, including presence at exhibitions, meetings and trainings in an adequate manner.
- To ensure that all quality procedures and work instructions relevant to the Company's operations are followed so as to meet the requirements of the Company and customers.
Job Requirement:
- Proficiency level in English, verbal and in writing
- Experience with SAP or similar ERP systems
- Experience in trading business such as customer service, import and export of goods to and from China.
- Good Word, Excel, PPT and other office software skills
- Experienced to work with and for western companies, experience in chemcial industry is advantageous.
- Bachelor degree, master degree is a plus
- have good communication skills and a strong sense of coordination
- independent and self-motivated
- Precise and alert
- Willingness to take on more responsibility over time and grow professionally.
