Responsibilities:
1. Maintain office supply and assets management, monitor office admin related rental, contract and vendor management
2. Support receptionist during absence (e.g. monitor office security access, phone list update, visitor registration, mobile bill coordination with finance team, handle travel arrangement etc), arrange company events.
3. Fully support on office move and related facility management, including but not limited to lease rental, government rental and service fees arrangement
4. Provide executive assistant support (e.g. assist in travel arrangement and expenses claim) to senior leaders in Hong Kong
5. Provide finance support; handle monthly payment to vendors, deposits, cheques, invoices, expense verifications, corporate card management and maintenance etc.
6. Working together with various functions and departments to ensure effective and efficient implementation of office policies and procedures. Liaison with UK company secretary and documents notarization and legalization arrangement.
7. Asist in work visa application if any
8. Act as local contact point for broader HR policies, where communication or clarifications are required
9. Responsible for employee relations and related events e.g. organizing monthly staff activity, CSR event, Christmas party, spring lunch, cultural related activities, annual town hall meeting and drive employee survey participation etc.
10. Provide support to Talent acquisition team for recruitment activities, coordinate payroll, tax, government reporting, people movement, on boarding/off boarding and other ad-hoc request and assignment by line manager.
Qualifications:
1. University education Business Administration/HR or related disciplines
2. 3+ years solid office admins experience, experience in HR is a plus
3. Excellent communication and interpersonal skills to build strong working rapport with a diversified group of business parties;
4. Excellent verbal and written command of Chinese and English
