Key Purpose:
To manage the Admin function,deliver high quality service to ensure we have the right administrative platform to support company operation and business growth in China.
Responsibilities
1. Undertake all daily administrative tasks and provide facility support within the offices and to the factory based teams in China, including but not limited to:
1) Office sourcing and decoration
2) Apartment and warehouse sourcing
3) Car sourcing and car rental, petrol fee, toll fee management
4) Requisition of stationery, office supplies and other commodities
5) The company business visa to HK
6) Incoming and outing parcels and letters
7) Switch board operation and telephone list maintenance
8) Receiving visitors
9) Company mobile phone, wireless cards and landline management
10) Air ticket and hotel booking
11) Meeting room management and business/staff entertainment handling in the office
12) Admin reports and documents update and maintenance
13) Carpet and AC cleaning
2.Manage and maintain a healthy relationship with the landlord and building management company
3.Interface actively with internal customers to understand the business needs and lead the service management team in China to provide quality service on a timely and effective manner
4.Support line manager to execute key operational decisions in alignment with Pentland’s OGSM
5.Review current process for continuous improvement and establish related SOPs if any
6.Take effective actions to ensure the security and maintenance of healthy environment in the offices and warehouses
7.Negotiate with suppliers and prepare/review all service management related contracts to maximize the company’s interests
8.Monitor and fulfil business registration, licensing and other legal requirements for all government authorities
9.Handle all service management payments timely and ensure the expenses are accurate and appropriate
10. Ensure sufficient office supply and manage the Fixed Asset properly
11. Prepare data for forecast and budget and control spending within budget
12. Coordinate and promote company internal events and activities
13. Issue and sign on invitation letters to overseas visitors
14. Sign legal documents on the company’s behalf when authorized
15. Act as the Fire Marshal and Health and Safety (H&S) Advisor
16. Act as BCP owner for Shanghai office
17. Back up service management in Shenzhen office whenever needed
18. Other business support requested by line manager and HR team
What you need to have:
1、10+ year experience in office administration and facility management
2、Strongnegotiation and coordination skills
3、Must be able to multi-task effectively in a dynamic working environment with hands-on working approach
4、Able to work independently
5、Good MS Office skills (Word , Excel & PowerPoint)
6、Fluent in English, both written and oral
7、Have broad experience in project management, including but not limited to new office sourcing and office decoration
