The Company is looking Administrative Assistant.
Main Job Tasks and Responsibilities
? Provide assistance to the Management and other staff of the office, including managing calendar, arrange meetings, arrange travels, etc
? Provide other general administrative services to the office, including answering phone calls, managing mails and couriers, ordering stationary etc
? Perform other ad hoc services requested by the Management
? Apart from ensuring that its work meets the standards set by The Employer, The Employee shall complete extra temporary tasks assigned to her/him by The Employer and exert its utmost to meet or exceed The Employer’s business goals.
? Communicates with relevant agencies to produce travel itineraries for business directors and employee events
? Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
? Manages correspondence by answering emails and sorting mail
? Assists in planning and arranging events, including organizing catering
? Handles expenses and billing cycles
? Manages reception area and looks after visitors
? Answers phone calls and transfers them as necessary
? Drafts, formats, and prints relevant documents
? Maintains stock lists and orders office supplies as needed
? Manages staff expense requests
? Interacts with directors and carries out their requests
? Creates agendas and takes meeting notes
? Assists in purchase orders and invoicing
? Maintains accurate records for employee holiday requests
? Manages outgoing post and records data on special deliveries
? Photocopies and files appropriate documents as needed
? Attends workshops and conferences when requested
? May take care of website functions and social media profiles
Education and Experience
? Fluent English speaking, perferrably Turkish language skill
? High school diploma, general education degree or equivalent
? knowledge of customer service principles and practices
? knowledge of relevant computer applications
? ability to type
? knowledge of administrative procedures
? numeric, oral and written language applications
? product knowledge
? Additional to Chinese (Mandarin), English and/or Turkish.

? Excellent oral and written communication skills
? Detail oriented and works with a high degree of accuracy
? Highly organized and flexible
? Ability to multitask and meet changing deadlines
? Must be self directed and able to complete projects with limited supervision
? Maintains staff confidentiality
? Working knowledge of email, scheduling, spreadsheets and presentation software
