RESPONSIBILITIES
(Major responsibilities and target accomplishments expected of the position including the typical problems encountered in carrying out the responsibilities)
1. Performs reception functions
Main Activities:
? Answer all incoming calls with good attitude and etiquette. And handle callers’ inquiries whenever possible
? Re-direct calls as appropriate and take adequate messages when required
? Greet, assist and/or direct all kinds of visitors by providing helpful assistance according to Admin service standard
2. Maintain office condition
Main Activities:
? Performs maintenance of office equipment, furniture, etc according to internal SOP and standard to ensure smooth and professional office operation
? Continuously organize good housekeeping in the office to ensure a professional image of the work place. Supervise cleaning staff and contractor in housekeeping of office areas, pantry, common passageways
? Work with the property management of the office building to ensure that the amenities (such as electricity, elevators, water supply, security, greenery etc.) within the office is functioning properly at all times
3. Admin service
Main Activities:
? Sorts and distributes incoming mail & newspaper; prepares outgoing mail and maintains postage records
? Receiving and sending courier packages
? Responsible for company meeting room/vehicles booking, staff business trip arrangement, including air ticket and train tickets booking
? Perform administrative activities such as printing business card, ordering and manage stationery, water and newspaper, updating Tel-list, supplier database and admin cost, managing access card & keys and valuable asset use record, new staff & exit staff preparation, and process relative admin payment according to the internal SOP and standard
4. Communication
Main Activities:
? Respond to routine inquiries from internal or external sources according to Admin Service Standard. Maintain liaison between internal departments and work closely with the external vendors to make sure Admin Service is highly recognized by the both parties
? Share the info. In a consultative style to deal with internal and external parties to strengthen the understanding each other
5. Documentation Management
Main Activities:
? Documentation management: set up a clear documentation management system to make sure all the information related to the assigned job kept correct and in line with the internal requirements
? Make sure the report is in line with the schedule and the data is correct
6. Other duties assigned by HODs and the management.
KNOWLEDGE SKILLS AND ABILITIES
(The knowledge, skills and attitudes required for satisfactory job performance)
Education
? Diploma in Administration or related disciplines
Job related experience
? at least 1+ years relevant experience, with a background working for multinational corporations highly desired
Knowledge
The incumbent must have proficient knowledge in the following areas:
? Knowledge of the full spectrum of one’s job area
Skills
The incumbent must demonstrate the following skills:
? Detail-oriented and hands-on
? Ability to multitask between reception and administration duties
? Strong communication skills and professional telephone manner
? Fluency in English and Mandarin
? Familiar with office facilities and good command of computer MS software
Personal Attributes
The incumbent must maintain strict confidentiality in performing the duties of Driver. The incumbent must also demonstrate the following personal attributes:
? Pleasant personality, good-appearance, motivated, careful, courteously have the affinity
? Responsible, independent, service-oriented, communicative
? Ability to deal with the emergency
