Responsibilities
? Create pleasant physical environment and caring working atmosphere.
? Conduct daily office operations check and keep all the facility and equipment (Printer, Air conditioner, Furniture etc.) at a satisfactory level all times.
? Maintain office security by following safety procedures and controlling access through reception desk controls.
? Monitor and instruct office Ayi on daily hygiene and cleaning tasks and provide appropriate working schedules.
? Manage and record drivers work hours and schedules.
? Organize stationary checklist and monitor stationary equipment; responsible for ordering more materials when needed
? Create and implement office/ reception policies and procedures to ensure security and operation effectiveness; create adjustments as problems arise
? Interact with each department to ensure cooperation and proper communication is maintained between each area on the floor
? Welcomes visitors by greeting them in person or on the telephone.
? Appropriately directs visitors to where they need to go by keeping track of the department directories and giving proper instructions
? Receive letters, packages etc. and distribute them appropriately
? Will be responsible for performing several receptionist duties such as filing, photocopying, printing, etc.
? Work with HR team to organize all kinds of staff activities, such as Town Hall, Lunch & Learn, annual party by contacting the vendors or suppliers and wine ordering etc.
? Communicate with landlord for staff car parking, move in and move out etc.
? Other duties and responsibilities assigned by your supervisor.
Requirements:
? Bachelor’s degree or equivalent
? Proven work experience with at least 5 years as an office manager or similar role
? Good written and verbal communication skills in both English and Chinese
? Vendor management experience
? Excellent organizational and management skills
? Have strong multitasking skills and can adapt well under stressful situations
