Part I :

1/ daily work

- Answering phone call and transferring with a professional manner

- Handle courier and express delivery, sign for outing and incoming couriers

- Receive visitors and inform host employees when visitor arrives, water or coffee service if needed

- Conference room booking and coordination of different departments

- Shuttle bus booking, shuttle bus monthly kilometre record

- Shuttle bus gasoline payment + driver packing fee

- Handle stationary inventory for office use only (in-out list record)

- Update employee contact list and other frequent used telephone list

- Welcome board preparation for office and airport take-up

- Duty manager board daily management

- Prepare a set of documents for new onboard employee (registration form for candidates who come to interview, office stationary preparation for new onboard staff, etc)

- Keep reception desk area clean and tidy.

- lunch order for French staff or French visitors

- Taxi booking for French Staff

- Staff Welfare product dispatch

2/ Monthly Routine Work:

- Express report clarification

- Monthly allowance form collection and summarize by department

- Travel request collection, double check of travel request and summarize by department

- Car rental company invoice management

- Medical expense reimbursement for staff

Part II : HR & Office Administration Assistance:

- Welcome candidates to interviews to let them fill in related forms

- Supervise cleaning Ayi for cleaning, planting management and pantry supply (water, coffee, tea, cups, etc.)

- Provide help for the preparation company parties, employee outings, annual dinners

- Provide help for the preparation for internal HR trainings if needed

- Staff sales order form collection, data summarize and product dispatch
