Main Responsibilities
Office Administration Operations
? Daily admin operations – Ensure daily operations are executed, e.g. access control, telephone system, purchasing and maintenance of office supplies.
? Renovation and relocation projects – Liaising with contractors ensuring completion of project schedule, i.e. space planning, updating floor plans and moving logistics.
? Repair and Maintenance – Monitor and ensure “Repair and Maintenance Logbook” is up to date and repair and maintenance work carried out within the quickest timeframe.
? New joiner – Provide General Admin Orientation briefing for new joiners on the first day at H&M followed by more detailed Orientation with Accounts to explain travel policy
? Assist Ad Hoc Projects – Sourcing potential venues for external meetings, including dinner options as well as launching in-house employee events.
? Strategy – Work with Office Administration Manager to improve operations, streamline admin procedures for an improved internal process.
Vendor Procurement
? Liaising with vendors to benchmark costs and price negotiation.
? Work with Office Admin Manager in reviewing annual service agreements of existing vendors and sourcing new vendors for competitive pricing.
Education and experience requirements
? Knowledge of administrative and clerical procedures
? Knowledge of computers and relevant software application
Knowledge and skills requirements
? Professional personal presentation
? Good command of spoken and written English and Cantonese
? Information management
