Job Function
1. Use EDI, Email or Fax to collect customer's order/forecast and make order entry and sales forecast accordingly. Assists in sales forecasting of back orders to facilitate the monitoring of sales target achievement .
2. Make delivery plan according to customer's firm order. Advise customer about shipping status and prepare related documents (invoice and packing list, special exchange data and others if necessary);
3. Monitor ERP and release manufacturing order according to system action messages and optimize order planning to ensure the required stock level is met;
4. Maintain & update records/files (Quotation folder, Order history, contract review and delivery note etc.) in the department;
5. Communicate and coordinate with purchasing and production department for material and production planning to ensure on time delivery;
6. Handle customer feedback and complaints promptly. Register complaints and communicate to KAM. Work with KAM to identify root causes and define improvement actions. Communicate with customers on our follow up and improvement actions;
7. Provide administrative support to KAM or Sale Manager concerning enquiries, quotation, sample, turnover status reporting, customer rating, order trend reporting, monthly performance reporting, etc;
8. Assist the KAM or Sales manager in prepares quotation in ERP system in accordance with company standard and policy;
9. Coordinates with account team or customer to arrange goods return and follow up on the issue of credit note after receiving inspection confirmation from Quality department;
10. To perform special projects/assignments or additional tasks assigned by KAM or sales manager;
11. Participates actively in all quality improvement activities to enhance customer satisfaction and business results;
12. Work closely with financial department for price changes, invoice express, payment chase and payable performance rating etc.
13. Prepares contracts (if required) and perform contract review to ensure that customers' requirements are well defined in the contracts and are within company's capability and policy. This responsibility is not applicable to those contracts received and reviewed by Key Account Manager and Sales Manager.
Qualification and Requirement
- Diploma or College degree in any discipline
- At least 2 years experience in customer service or logistic planning in manufacturing environment
- Good interpersonal, communication and coordination skills and highly customer oriented
- Good verbal and written communication skills in English and Chinese
- Knowledge in business and commercial field is an added advantage
- Strong team player, pro-active, able to work under stressful environment and able to work independently
- Has work with reputable ERP system
